Service Operations Coordinator

1. Backend Support Service Operations

• Assign service calls to Service Engineers and track action on assigned tickets.
• Monitor open & pending tickets, take corrective actions for faster response and resolution.
• Escalate issues internally and externally for timely closure.
• Handle client calls related to Breakdown, Preventive Maintenance (PPM), AMC renewals, and payments .
• Coordinate with Pre-Sales team; prepare and submit AMC & Extension quotations accurately and on time (including taxes).
• Raise Material Indents , follow up for availability of materials for breakdowns and small projects.
• Maintain complete documentation: Client POs, Work Orders, Invoices, Service Reports, Checklists , etc.
• Verify field team claims and expenses and forward for processing.

2. Service Invoicing & Receivables

• Coordinate with Finance for timely invoicing .
• Submit invoices with all required documents to clients.
• Follow up for on-time payment collection .

3. Record Keeping & MIS

• Verify daily service engineer reports.
• Prepare and maintain MIS reports:
• Booking
• Billing
• Receivables
• Material tracking
• Track PO Qty vs Delivered Qty vs Billed Qty .

4. Coordination

• Coordinate with Customer Care to ensure accurate CRM updates.
• Work with Finance & Accounts on:
• Service invoicing
• Receivables
• Sub-contractor bills
• Reconciliation of customer and vendor accounts
• Coordinate with Purchase team on pending materials and deliveries.
• Act as the single point of contact for backend service coordination in Hyderabad .
