Role Overview

We are seeking a highly organized and technically strong Data Room Specialist with deep expertise in Notion to design, build, maintain, and scale our internal knowledge and operations database. This role will be responsible for structuring complex datasets, creating intelligent workflows, enabling automation, and ensuring data accuracy across business, operations, training, research, and compliance functions. You will work closely with leadership, operations, research, HR, and training teams to convert unstructured information into structured, queryable, and actionable intelligence systems.

Key Responsibilities

• Design and maintain centralized internal databases for operations, research & analysis, training & learning content, HR/hiring/onboarding, and SOPs/compliance/audit records
• Convert unstructured documents, notes, trackers, and spreadsheets into structured, relational datasets
• Build and manage inter-linked data tables, dynamic dashboards, and smart filtering/reporting systems
• Implement AI-assisted data workflows for knowledge retrieval, content summarization, training organization, and research structuring
• Design and optimize approval flows, version control, and access permissions
• Ensure data integrity, security, and consistency across all business units
• Build performance tracking systems for employees, traders/analysts, and operations teams
• Integrate internal databases with forms, communication tools, and automation platforms
• Act as the single owner of internal knowledge infrastructure
• Continuously improve system efficiency, speed, usability, and reporting depth

Required Skills & Qualifications

• Expert-level Notion experience including:
• Building complex, interlinked databases and relational structures
• Designing advanced dashboards with rollups, filters, and formula customizations
• Creating automated workflows, templates, and system architectures
• Managing workspace permissions, version control, and multi-team organization
• Database optimization and performance tuning
• Deep understanding of information architecture and relational database design
• Ability to convert unstructured data into structured, queryable formats
• Experience implementing AI-assisted workflows
• Strong process design and workflow mapping competencies
• Familiarity with integrating Notion with Zapier, Make, Slack, Google Workspace, and API connectors
• Excellent analytical, logical reasoning, and problem-solving skills
• Strong communication and technical documentation abilities
• Proven cross-functional collaboration experience with operations, training, HR, and leadership
• Ability to work independently with high ownership and scalability mindset

Preferred Qualifications

• Experience at Notion Labs or similar knowledge management platforms
• Background in fintech, analytics, edtech, consulting, or startups
• Experience designing LMS systems, research dashboards, or compliance trackers
• Knowledge of API-based integrations and custom integrations
• Experience with AI-powered knowledge systems and automation at scale
