Job Title: HR Operations Executive / Specialist HRIS & Automation

Location: Bangalore

Industry: IT Services / Digital Engineering

Reporting To: Director Human Resources

Role Overview

The HR Operations Executive HRIS & Automation is responsible for managing and optimizing day-to-day HR operations through HR systems, automation, and structured digital processes. This role ensures seamless employee lifecycle management, background verification, benefits administration, compliance, and effective coordination with payroll, finance, and external vendors.

The position plays a critical role in supporting and configuring the HRIS (Darwinbox), driving process efficiency through automation, and enabling a scalable, data-driven, and technology-enabled HR operations environment.

Key Responsibilities

1. HRIS (Darwinbox) Operations & Configuration

  • Act as the primary support SPOC for Darwinbox for day-to-day operations and issue resolution.
  • Perform basic system configurations, including:
  • Workflow updates (approvals, notifications)
  • Master data management
  • Policy configuration (leave, attendance, eligibility rules)
  • User access control and role-based permissions
  • Coordinate with Darwinbox support/vendor for issue resolution, enhancements, and UAT testing.
  • Ensure data accuracy and support digitization across HR modules (employee lifecycle, attendance, leave, documentation, etc.).

2. Payroll & Compensation Support

  • Manage consultant salary data and validate timesheets/invoices before sharing with Finance.
  • Collate and validate monthly shift allowance data for payroll processing.
  • Support payroll audits, reconciliations, and exception handling.

3. Employee & Ex-Employee Support

  • Handle employment verification requests for ex-employees.
  • Manage HR helpdesk tickets and ensure resolution within defined SLAs.

4. HR Documentation & Letter Management

  • Prepare and issue HR-related documents, including:
  • Employment letters
  • Visa and Green Card letters
  • Immigration letters
  • Form 60
  • NOC letters

5. Automation & AI-Driven Process Enablement

  • Leverage AI tools (e.g., Microsoft Copilot, ChatGPT) to:
  • Document HR processes and SOPs
  • Automate repetitive HR operations (data validation, reporting, trackers)
  • Improve response quality and turnaround time for HR queries
  • Identify and implement automation opportunities to enhance efficiency and scalability.
  • Standardize workflows, templates, and SOPs using digital tools.

Required Skills & Competencies

  • Strong understanding of HR Operations and employee lifecycle processes
  • Hands-on experience with Darwinbox HRMS (configuration and operations)
  • Proficiency in MS Excel and SharePoint (data reconciliation, reporting, trackers)
  • Experience leveraging AI tools for process improvement and automation
  • High attention to detail and strong documentation skills
  • Excellent stakeholder management and coordination abilities
  • Process-driven mindset with a focus on continuous improvement

Preferred Qualifications

  • Masters degree in Human Resources, Business Administration, or a related field
  • 5+ years of experience in HR Operations and HRIS within IT or technology-driven organizations
