About the Role
Oberoi IBC is a legacy brand consultancy (est.1995) that has grown from celebrityled storytelling to performancedriven creativity. As the first person visitors interact with, our receptionist shapes the tone for clients, partners and celebrities alike. We are looking for a receptionist who is professional, techsavvy and hospitalityoriented to manage our front desk and support our Mumbai office.
Core Responsibilities
- Front desk coverage & visitor experience: Greet clients, partners, celebrities and vendors, guide them to waiting areas and notify internal teams of their arrival. Keep visitor logs and ensure compliance with our signin procedures.
- Communication and coordination: Answer multiline phone calls, manage voicemails and email enquiries, take accurate messages and route them to the correct person. Coordinate with internal teams about deliveries, schedule changes and visitor updates.
- Scheduling & calendar management: Use our booking system to schedule, confirm and update meetings, studio sessions and celebrity appearances. Provide reminders and coordinate with security and facilities teams when highprofile guests arrive.
- Administrative support: Assist with data entry and filing, update contact databases, handle mail and packages, maintain office supplies and help with basic billing or documentation as needed.
- Technology & systems: Operate our visitor management system, digital phone console and Office365/GoogleWorkspace tools. Comfort with email, calendars, spreadsheets and CRM software is essential.
- Workplace presentation: Maintain a tidy, welcoming reception area, ensure signin materials are stocked and that guests feel taken care of from the moment they arrive.
Desired Skills & Qualifications
- Experience: 24years experience in a receptionist or frontdesk role within a media, advertising, hospitality or corporate environment.
- Professional communication: Excellent verbal and written skills in English and Hindi; ability to handle multitasking (calls, emails and inperson guests) calmly and politely.
- Organisation & multitasking: Strong organisation and timemanagement skills to juggle appointments, visitors and administrative tasks simultaneously.
- Techfluency: Familiarity with calendar/booking tools, CRM or visitor management platforms and proficiency with MSOffice; ability to learn new systems quickly.
- Professional presence: Impeccable grooming and a friendly, confident demeanour; ability to handle sensitive celebrity interactions discreetly and maintain confidentiality.
