Job Description
We at Evoc are looking for a highly capable, detail-oriented, and dependableExecutive Assistant & Associateto work closely with the Founder & CEO.
This is a high-trust founder support role spanning research, writing, execution tracking, stakeholder coordination, and executive bandwidth management. Please note: applicants looking for a conventional administrative support role need not apply.
The person in this role will take ownership of a wide range of tasks spanning scheduling, follow-ups, research support, document drafting, internal coordination, and day-to-day execution support.
The ideal candidate should be equally comfortable handling calendars and coordination, as well as preparing research notes, first drafts, meeting briefs, presentations, trackers, and follow-up documents. This role is designed for someone who wants a front-row seat to how a founder thinks, works, prioritises, and builds.
- Manage the Founders calendar, meetings, reminders, and scheduling priorities
- Coordinate internal and external meetings, calls, and appointments
- Ensure the Founder is well-prepared for all key meetings through agendas, briefs, background notes, and reminders
- Help protect the Founders time by prioritising requests and reducing avoidable scheduling clutter
- Conduct secondary research on clients, industries, competitors, media, policy developments, and stakeholders
- Prepare concise briefing notes, summaries, and background documents ahead of meetings, pitches, and writing assignments
- Track relevant developments in sectors such as public affairs, policy, technology, energy, and communications
- Prepare first drafts of emails, follow-up notes, meeting summaries, proposals, bios, presentations, and internal documents
- Convert rough ideas, voice notes, or bullet points from the Founder into structured drafts
- Help maintain high standards of written communication across internal and external documents
- Track action items arising from meetings and ensure timely follow-through across teams
- Maintain dashboards, trackers, and status sheets for active priorities, proposals, renewals, and deliverables
- Coordinate with internal team members to ensure tasks move on schedule and pending items do not slip
- Support the Founder in managing multiple workstreams simultaneously
- Organise information, documents, priorities, and commitments in a clear and retrievable manner
- Act as a reliable coordination point across the Founders office and broader team
We are looking for someone who is:
- Exceptionally organised and responsive
- Strong in written and spoken English
- Able to conduct structured research and summarise information clearly
- Comfortable drafting documents and emails with minimal hand-holding
- Calm under pressure and capable of managing multiple moving parts
- Discreet, trustworthy, and mature in handling sensitive information
- Proactive in following up, anticipating needs, and closing loops
- Interested in working closely with a founder in a high-accountability environment
Candidates with3-5 years of experiencein one or more of the following will be well-suited:
- Founders Office roles
- Consulting, communications, or agency environments
- Policy research or think tank support roles
- Writing-heavy support roles involving research and documentation
