Bunker Operations Executive

Bunker Operations Executive will be responsible for end-to-end operational execution of marine fuel and lubricant deliveries. The role ensures that each stem is properly planned, monitored, documented, and handed over for invoicing accurately and on time.

This position acts as a central coordination point between traders, suppliers, surveyors, agents, and vessels, ensuring smooth delivery operations and minimizing operational risk.

TASK AND RESPONSIBILITIES

Pre Delivery Planning & Nomination

a. Issue bunker nominations to physical suppliers and confirm acceptance

b. Confirm delivery windows with vessel agents and barge operators (ETA/ETB alignment)

c. Arrange surveyors as required by client or internal trading desk

d. Share product specifications (COQs) and documentation prior to supply

e. Track vessel schedule changes (berth updates, congestion, weather, port restrictions)

f. Monitor weather updates and operational conditions at supply ports

g. Provide regular operational updates to internal and external stakeholders

Delivery Monitoring & Coordination

a. Monitor live bunker operations from commencement to completion

b. Coordinate communication between vessel, supplier, surveyor, agent, and trader.

c. Track delays, congestion, weather interruptions, and rescheduling requirements

d. Maintain clear operational status updates for the trading desk

PostDelivery Documentation Control

a. Collect delivery documentation (BDN, pumping logs, survey reports, sample seals)

b. Verify delivered quantities against contractual tolerances

c. Escalate discrepancies to relevant internal teams

d. Follow up and close outstanding documentation within turnaround timelines

Lubricants Coordination

a. Coordinate marine lubricant deliveries with agents and warehouses

b. Confirm product approvals, pack sizes, and vessel requirements

c. Monitor urgent deliveries and ETA changes

Operational Reporting & Analysis

a. Maintain a live delivery tracker for all open stems

b. Record port and supplier operational notes

c. Support internal performance reporting (delays, reschedules, documentation)

QUALIFICATION AND EXPERIENCE

• Bachelors Degree (Shipping, Maritime, Business, Logistics, Supply Chain or related)
• (1 3) years shipping or bunkering experience preferred.
• Understanding of bunker supply workflow.

KNOWLEDGE AND SKILLS

• Strong Excel skills; ERP/operations system exposure advantageous
• strong communication and multitasking ability
• Fluent English (spoken & written)
