Associate Travel Desk

Domestic & International Travel Management:

• Arrange domestic and international travel for employees and management, including flights, accommodation, transport, and insurance.
• Ensure compliance with company travel policies and cost efficiency in all bookings.
• Maintain travel records, itineraries, and expense trackers.
• Liaise with travel agents and vendors for bookings and preferred deals.
• Track and reconcile travel expenses as per company policy.
• Prepare weekly and monthly travel MIS reports for management review.
• Support the finance team in travel-related reimbursements and budgeting.
• Coordinate with airlines, travel agencies, embassies, hotels, and internal departments.
• Provide support to employees during travel emergencies or schedule changes.
• Negotiate corporate rates and ensure service quality from travel vendors.

Visa & Documentation Management

• Handle end-to-end visa processing for business and employment travel (invitation letters, documentation preparation, embassy/submission coordination).
• Stay updated with visa requirements, timelines, and embassy regulations for various destinations.
• Review and verify all submitted for completeness and accuracy and ensure all applications comply with government guidelines and security requirements.
• Maintain confidentiality regarding data and documents.
• Monitor progress of all visa applications.
• Follow up with consulates/embassies for updates.

Qualifications

• Bachelors degree (Any) with 6-10 years of experience in a travel desk role with visa handling responsibilities.

Required Skills

• Experience with travel management software (e.g., Concur, Galileo, Amadeus).
• Prior experience working with multinational companies or travel management agencies.
