Role Outline: TheAssistant Facility Managersupports the efficient and safe operation of the organizations physical infrastructure by managing daily facility operations, vendor coordination, maintenance schedules, and compliance activities. The role ensures that building systems function reliably, vendors perform as per contract, and internal service standards are met, while also assisting in reporting and budgetary tracking.

Key Responsibilities

Facility Operations and Maintenance

• Monitor and supervise routine maintenance of building infrastructure including HVAC, electrical, plumbing, lifts, and fire safety systems.
• Conduct in-house inspections as well as coordinate with consultants to ensure compliance with statutory and operational standards (compliance inspections conducted annually).
• Schedule and ensure execution ofQuarterly PPM(Planned Preventive Maintenance), primarily for chillers and lifts (covered under AMC).
• Performmonthly internal electrical inspectionsto identify risks or performance issues.
• Coordinate repairs and preventive maintenance with service providers to avoid breakdowns and disruptions.

Vendor and Contractor Management

• Assist in managing third-party vendors and contractors providing services such as housekeeping, landscaping, security, and technical maintenance.
• Review vendor performance, verify service quality, and cross-check invoices before submitting for approval.
• Ensure compliance with service contracts, SLAs, and operational standards.

Administration and Asset Management

• Maintain detailed records of facility assets, AMCs, warranties, and equipment inventory.
• Assist in tracking maintenance and repair budgets, and propose cost-effective solutions or optimizations where applicable.

Health, Safety, and Compliance

• Ensure adherence to all health, safety, and environmental protocols across the premises.
• Coordinate periodicmock drills, safety training sessions, and fire safety auditsfor staff and clients.
• Support in maintaining compliance documentation and assisting during internal or external audits.

Customer and Employee Support

• Address and resolve facility-related complaints or issues raised by clients or employees in a timely and professional manner.
• Serve as the first point of contact for operational concerns within the premises.

Reporting and Coordination

• Prepare and share regular facility management reports including:

oDaily Maintenance Reports (DMRs) covering electricity and water consumption, DG usage, and manpower deployment.

oMonthly Reports detailing electricity and water bills.

• Coordinate closely with internal teams such as Admin, Security, HR, and Projects for smooth facility operations.

Key Skills and Experience

Diploma or Bachelor's in electrical or mechanical engineering with 46 years of experience in handling facility management.

Strong understanding of building systems (HVAC, electrical, fire safety, plumbing, lifts)

Basic understanding of compliance standards (fire safety, electrical safety, etc.)

Vendor coordination and service quality evaluation

Familiarity with facility management software/tools and MS Excel for reporting

Good communication, interpersonal, and problem-solving skills

Proficiency in MS Office, site measurement tools, and basic documentation practices will be preferred.
