Job Description
Job Summary
We are seeking a highly organized, discreet, and proactive Personal Assistant to the CEO to provide comprehensive administrative, operational, and strategic support. The PA will act as a trusted liaison between the CEO and internal/external stakeholders, ensuring smooth day-to-day operations and effective time management.
Key Responsibilities
Executive Support
- Manage CEOs calendar, appointments, meetings, and travel schedules
- Screen calls, emails, and correspondence; prioritize and respond as needed
- Prepare agendas, presentations, reports, and briefing notes for meetings
Coordination & Communication
- Coordinate with senior leadership, departments, clients, and external partners
- Schedule and manage internal and external meetings (virtual and in-person)
- Follow up on action items and ensure timely closure
- Draft professional emails, letters, and internal communications
Administrative & Operational Support
- Handle confidential information with the highest level of discretion
- Organize documents, records, and contracts (digital and physical)
- Assist in preparing MIS reports, dashboards, and executive summaries
- Support board meetings, investor calls, and leadership reviews
Travel & Logistics
- Plan and manage domestic and international travel arrangements
- Handle itineraries, visas, accommodation, and expense tracking
- Coordinate events, conferences, and executive offsites
Special Projects
- Assist CEO with strategic initiatives and ad-hoc projects
- Conduct basic research and data compilation as required
- Support process improvement and coordination across teams
Required Skills & Qualifications
- Bachelors degree in Business Administration or related field
- 25 years of experience as a PA / Executive Assistant to senior leadership
- Excellent verbal and written communication skills
- Strong organizational and time-management abilities
- High level of professionalism, integrity, and confidentiality
- Proficiency in MS Office / Google Workspace (Word, Excel, PowerPoint)
- Ability to multitask, prioritize, and work under pressure
Preferred Qualifications
- Experience supporting CEO /Founder
- Exposure to board-level communication
- Strong follow-up and problem-solving skills
- Flexible with working hours when required
