Job Description

Job Summary

We are seeking a highly organized, discreet, and proactive Personal Assistant to the CEO to provide comprehensive administrative, operational, and strategic support. The PA will act as a trusted liaison between the CEO and internal/external stakeholders, ensuring smooth day-to-day operations and effective time management.

Key Responsibilities

Executive Support

  • Manage CEOs calendar, appointments, meetings, and travel schedules
  • Screen calls, emails, and correspondence; prioritize and respond as needed
  • Prepare agendas, presentations, reports, and briefing notes for meetings

Coordination & Communication

  • Coordinate with senior leadership, departments, clients, and external partners
  • Schedule and manage internal and external meetings (virtual and in-person)
  • Follow up on action items and ensure timely closure
  • Draft professional emails, letters, and internal communications

Administrative & Operational Support

  • Handle confidential information with the highest level of discretion
  • Organize documents, records, and contracts (digital and physical)
  • Assist in preparing MIS reports, dashboards, and executive summaries
  • Support board meetings, investor calls, and leadership reviews

Travel & Logistics

  • Plan and manage domestic and international travel arrangements
  • Handle itineraries, visas, accommodation, and expense tracking
  • Coordinate events, conferences, and executive offsites

Special Projects

  • Assist CEO with strategic initiatives and ad-hoc projects
  • Conduct basic research and data compilation as required
  • Support process improvement and coordination across teams

Required Skills & Qualifications

  • Bachelors degree in Business Administration or related field
  • 25 years of experience as a PA / Executive Assistant to senior leadership
  • Excellent verbal and written communication skills
  • Strong organizational and time-management abilities
  • High level of professionalism, integrity, and confidentiality
  • Proficiency in MS Office / Google Workspace (Word, Excel, PowerPoint)
  • Ability to multitask, prioritize, and work under pressure

Preferred Qualifications

  • Experience supporting CEO /Founder
  • Exposure to board-level communication
  • Strong follow-up and problem-solving skills
  • Flexible with working hours when required
