Title: Executive Assistant
Location: Hebbal, Bengaluru, KA (100% Onsite)
Employment Type: Fulltime Permanent
Job Summary:
We are looking for an experienced Executive Assistant to support CXOs. The role requires strong experience in calendar management, coordination, documentation, and stakeholder communication. The candidate must have strong Microsoft Office skills, especially Excel and PowerPoint. Exposure to aerospace, engineering services, and basic market research will be an added advantage.
Responsibilities include but not limited to:
1. Executive Support
Manage executive calendars across multiple time zones.
Plan daily schedules and ensure effective time management.
Schedule meetings, calls, workshops, and domestic/international travel.
Prepare meeting agendas and track action items until closure.
Act as a point of contact between the executive and internal/external stakeholders.
Screen and prioritize emails, calls, and meeting requests.
Handle confidential and sensitive information with discretion.
Provide support during leadership meetings and reviews.
2. Documentation & Presentations:
Prepare high-quality PowerPoint presentations for leadership reviews, board meetings, and client discussions.
Prepare Excel reports, trackers, dashboards, and basic data analysis.
Draft and format reports, emails, memos, and business documents.
Compile data and convert information into structured presentations.
Maintain organized records, files, and documentation.
3. Business & Administrative Support
Support business development activities, proposal coordination, and follow-ups.
Maintain and update client/contact databases with accuracy.
Conduct basic market research and competitor information when required.
Manage reimbursements, expense claims, insurance documentation, and approvals.
Track executive travel days for reporting and compliance purposes.
Coordinate logistics for leadership visits and client meetings.
4. Coordination & Process Management
Follow up on key tasks and ensure timely completion.
Coordinate with internal teams across departments and global locations.
Support internal approval workflows and documentation processes.
Ensure adherence to company policies and compliance requirements.
