Role Overview

The Wellness Concierge Executive serves as the primary point of contact for guests and plays a critical role in delivering a refined, seamless, and high-quality wellness experience. The role requires a balance of warmth, discretion, and operational precision, ensuring smooth front desk operations and exceptional guest service in a luxury wellness environment.


Key Responsibilities

  • Welcome and assist guests with a calm, polished, and professional demeanour.
  • Manage appointments, scheduling, rescheduling, and guest profiles using Zenoti with complete accuracy.
  • Coordinate with therapists and internal operations teams to ensure seamless session flow.
  • Handle guest check-ins and check-outs, billing, invoicing, memberships, and retail transactions.
  • Maintain high standards of front desk organisation, cleanliness, and readiness at all times.
  • Provide accurate information regarding treatments, schedules, visiting practitioners, and wellness offerings.
  • Address guest queries, feedback, or concerns with discretion, empathy, and timely resolution.
  • Prepare and close daily operational reports including collections, cancellations, utilisation, and therapist allocation.
  • Ensure adherence to service standards reflecting quiet efficiency, professionalism, and attention to detail.


Requirements

  • Mandatory: Prior hands-on experience using Zenoti for scheduling, billing, guest management, and reporting.
  • 26 years of experience in front desk, concierge, or guest services roles within wellness, hospitality, luxury retail, or premium healthcare settings.
  • Strong communication skills with a calm, clear, and confident approach.
  • High level of interpersonal maturity and guest-handling capability.
  • Excellent organisational skills with strong attention to detail.
  • Ability to multitask effectively while maintaining composure during peak hours.
  • Well-groomed, presentable, and aligned with a luxury wellness environment.
