Position Summary

The Travel Desk Executive is responsible for managing and coordinating all travel and related logistical requirements for Avana Medical's employees, visitors, and clients-both domestic and international. The role ensures cost-effective travel solutions, compliance with company travel policies, high-quality service, and excellent support before, during, and after travel. Expertia+1


Key Responsibilities

Travel Planning & Coordination

  • Arrange and manage end-to-end travel plans: flights, hotels, ground transportation, and travel insurance.
  • Prepare and issue travel itineraries with detailed schedules and confirmations.
  • Coordinate complex and last-minute travel arrangements as needed.


Vendor & Booking Management

  • Liaise with travel agencies, airlines, hotels, and transport providers to negotiate best rates and secure bookings.
  • Maintain strong supplier relationships to ensure quality service and favorable terms.


Compliance & Documentation

  • Ensure all travel complies with Avana Medical's travel policies and budget guidelines.
  • Manage travel documentation (e-tickets, visas, insurance papers, travel passes).
  • Support visa application and immigration facilitation for international travel when required.


Support & Issue Resolution

  • Provide proactive support to travelers for itinerary changes, cancellations, delays, and emergencies.
  • Act as the first point of contact for travel-related queries and assistance.


Record Keeping & Reporting

  • Maintain accurate travel records, expenses, and travel history logs.
  • Prepare periodic reports on travel costs, vendor performance, and opportunities for cost optimization.


Qualifications

  • Education: Bachelor's degree in Business Administration, Hospitality, Travel & Tourism, or related field preferred.
  • Experience: 0-1 years in travel coordination, corporate travel desk, or related administrative roles.


  • Technical Skills:
  • Familiarity with travel booking systems and online portals.
  • Proficient in MS Office (Word, Excel, Outlook).
