Role Overview:
The Domestic Customer & Tender Management Executive will manage endtoend operations for domestic customers of natural gas regulators. The role includes tender tracking, documentation, order processing, delivery coordination, customer issue resolution, and closure of transactions including bank guarantees and payments.
Key Responsibilities:
1. Tender Management
- Monitor government and PSU tender portals daily.
- Identify relevant tenders for natural gas regulators and related products.
- Prepare and submit tender documents (technical, commercial, and compliance).
- Coordinate internally to gather certificates, drawings, product specs, and pricing.
- Track tender status until award or closure.
2. Customer Order Management
- Receive and acknowledge customer purchase orders.
- Verify PO terms, delivery schedules, technical specifications, and pricing.
- Coordinate with production, planning, and dispatch teams to confirm timelines.
- Maintain an updated dashboard of open and completed orders.
3. Delivery Monitoring
- Prepare dispatch plans and follow up with logistics for timely deliveries.
- Share dispatch documents with customers (e.g., LR copy, invoice, test certificates).
- Track delivery status and resolve any logistics or documentation issues.
4. Payment & Payables Tracking
- Maintain a record of customer payments, credit periods, and overdue amounts.
- Follow up with customers/accounts for payment release and TDS certificates.
- Track submission and return of bank guarantees (PBG/EMD).
- Ensure all financial documents are closed for each order.
5. Customer Relationship & Issue Resolution
- Serve as the single point of contact for customer operational queries.
- Manage issues related to quality, quantity, transport, or documentation.
- Coordinate with internal teams to resolve disputes quickly.
- Ensure strong customer satisfaction and repeat business.
6. Reporting & Coordination
- Prepare weekly MIS reports: tenders, orders, dispatch, payments, BG status.
- Coordinate closely with Sales, Production, Dispatch, QA, and Accounts.
- Maintain systematic documentation for audits and compliance.
Skills & Qualifications:
- Graduate (Engineering background preferred).
- 25 years of experience in tendering, order management, or customer coordination.
- Strong knowledge of MS Office (Excel, Word, Outlook).
- Familiarity with government tender portals (GeM, eProcurement).
- Good communication skills and attention to detail.
- Ability to coordinate across multiple departments.
