Team Member - Sourcing

Team Member Indirect Sourcing – Services :

Objective

To manage the sourcing and procurement of indirect services, Sub-con and manpower-related requirements by identifying reliable vendors, negotiating contracts, ensuring compliance, and optimizing costs, thereby supporting seamless operations and project execution.

Key Responsibilities

1.  Sub-Contractor Selection

·       Identify and evaluate sub-contractors based on project/service requirements.

·       Assess vendor infrastructure, capabilities, and track record with emphasis on quality, cost-effectiveness, and timely delivery.

2.  Master Data Management

·       Maintain and update Material Master and Vendor Master records in ERP systems.

·       Ensure data accuracy and consistency to support procurement decisions and reporting.

3.  Purchase Coordination

·       Resolve procurement-related issues such as price escalations, delivery delays, and capacity constraints.

·       Liaise with vendors to address concerns raised by internal user departments.

4. Contract Management

·       Draft, review, and manage contracts with vendors and sub-contractors.

·       Negotiate terms and document revisions in collaboration with legal, finance, and operational stakeholders.

5.  Sub-con BOB Creation and Routing

·       Create Sub-contractor Bill of Business (BOB) based on finalized scope and commercial terms.

·       Route BOB through appropriate approval workflows to ensure alignment with internal policies and project requirements.

·       Coordinate with cross-functional teams to validate inputs and ensure timely BOB release.

6.  Manpower-Related Purchase Orders

·       Engage contract labour for production activities in alignment with operational needs and labour compliance.

·       Prepare and manage In-house CPC (Cost Per Component) pricing based on internal benchmarks and productivity metrics.

·       Develop and validate outsourced sub-contractor pricing through detailed time studies and process analysis.

·       Collaborate with production and industrial engineering teams to ensure accurate labor costing and efficiency tracking.

7.  Post-Order Execution

·       Coordinate post-order activities including collection of Bank Guarantees, technical drawings, and documentation.

·       Ensure timely delivery of services/materials and facilitate smooth vendor payment processing.

8.  Legal & Compliance Documentation

·       Prepare and manage legal documents such as NDAs and Service Level Agreements (SLAs).

·       Collaborate with the Legal team to ensure compliance with regulatory and internal standards.

9.  Cost Optimization

·       Drive cost reduction initiatives through value engineering and strategic negotiations.

·       Develop alternate sourcing strategies and Standard Operating Basis (SOB) for critical services and supplies.

10.  Procurement Execution

·       Execute the full procurement cycle: float RFQs, evaluate bids, negotiate, and finalize vendors.

·       Ensure timely creation of Purchase Orders for indirect materials and services essential to operations.

11.  Purchase Documentation & Recordkeeping

·       Maintain detailed records of all purchases including item specifications, costs, delivery timelines, and issue logs.

·       Ensure audit-readiness and transparency in procurement documentation.

12.  Vendor Performance Evaluation

·       Conduct regular assessments of vendor performance across parameters like price, quality, reliability, and service.

·       Ensure adherence to specifications, timelines, and standards in service delivery and material supply.
