About TAS
The Architecture Story (TAS) is a design-led architecture and interiors studio working across residential, commercial, retail, and hospitality projects. The studio operates in a fast-paced, collaborative environment where clarity, structure, and follow-through are critical to supporting high-quality design work.
Role Summary
The Studio Manager Operations & Administration is responsible for the day-to-day operational functioning of the studio.
This is a non-design, non-technical role that ensures:
- Studio systems are followed
- Information flows on time
- Tools are used correctly
- Teams stay aligned
Key Responsibilities
1. Studio Operations & Administration
- Oversee daily studio operations and office functioning
- Act as the single point of contact for admin, HR, and IT-related matters
- Manage attendance, leave tracking, holiday calendars, and studio policies
- Coordinate office vendors, utilities, subscriptions, AMCs, printers, internet, etc.
- Liaise with IT consultants for email, systems, hardware, and troubleshooting
- Manage onboarding and exit formalities for team members
2. HR & People Operations (Execution Only)
- Maintain employee records and documentation
- Track leaves, permissions, sickness, and WFH requests
- Ensure clarity and consistency in attendance and leave processes
- Act as the first point of escalation for people-related operational issues
- Support founders in maintaining a professional and respectful studio environment
3. Studio Systems & Tools (Zoho Projects)
- Set up and maintain Zoho Projects for all active studio projects
- Ensure tasks, milestones, ownership, and timelines are accurately updated
- Initiate and manage studio-wide time tracking
- Follow up with team members to ensure timely and accurate time entries
- Maintain project dashboards, task lists, and weekly status summaries
- Proactively flag delays, gaps, or non-compliance to founders
4. Operational Discipline & Follow-ups
- Track studio-wide deliverables, internal deadlines, and reviews
- Monitor the status of drawings, documents, and submissions (status tracking only)
- Send reminders, follow-ups, and escalation messages when required
- Coordinate recurring studio rhythms such as:
- Weekly team reviews / Friday presentations
- Internal checkpoints and deadlines
- Ensure meetings have agendas, notes, and clear action items
5. General
- Prepare weekly operations summaries highlighting:
- Pending items
- Risks
- Follow-ups required
What This Role Is NOT
- Not a design role
- Not a project architect role
- Not responsible for technical coordination with consultants
- Not responsible for creative or design decision-making
This role exists to remove friction so design teams can focus on design.
Skills & Experience
- 815 years experience in operations, administration, or coordination roles
- Strong organisational and follow-up capability
- Experience with ERP / CRM / project management tools (Zoho preferred)
- Comfortable handling multiple teams, priorities, and deadlines
- Strong written and verbal communication skills
- Calm, firm, and professional approach to people and processes
- High reliability, ownership mindset, and attention to detail

- Project Coordination Engineer
- Design Team
- Accounts team and external consultants
