Job Description
Role Overview
We are seeking a proactive, detail-oriented, and highly organized Service Coordinator to support our Service Centre operations and administrative functions. This role involves extensive coordination with Pan-India service centres of Sun Infonet, handling stock reports, inventory data maintenance, Excel-based MIS, and service-related documentation. The ideal candidate will be strong in data handling, highly accurate, proficient in MS Excel and systems/databases, and capable of maintaining confidentiality and meeting strict timelines.
Key Responsibilities
Stock Reporting & Data Maintenance
- Prepare, update, and maintain daily/weekly/monthly stock reports for service centres and spare parts.
- Maintain detailed stock records in Excel spreadsheets, ensuring high data accuracy ( 99%).
- Track inward and outward movement of spare parts and service inventory.
- Reconcile physical stock with system records and highlight variances proactively.
- Maintain structured Excel MIS reports including stock ageing, availability, consumption, and movement trends.
- Ensure proper version control, documentation, and secure storage of stock-related data.
Coordination with Pan-India Service Centres (Sun Infonet)
- Coordinate with Pan-India service centres of Sun Infonet for stock availability, dispatches, receipts, and reconciliations.
- Act as a single point of contact for stock-related communication between internal teams and service centres.
- Follow up with service centres for timely updates on stock usage and pending entries.
- Support service centres in resolving discrepancies related to stock records and reporting.
Challan & Inventory Management
- Prepare and manage challans for service jobs and spare parts dispatch.
- Ensure accurate inward/outward entry of parts in systems or manual registers.
- Monitor spare inventory levels and coordinate replenishment requirements.
- Coordinate with vendors/suppliers for spare parts based on stock reports and service needs.
- Assist in inventory audits by maintaining clear and audit-ready documentation.
Service Centre Coordination
- Track service jobs and ensure stock availability for timely job closure.
- Maintain service-related MIS reports and dashboards.
- Support service engineers and service centres with documentation and data requirements.
General Administration & Compliance
- Handle day-to-day administrative tasks related to service centre operations.
- Ensure proper filing (physical and digital) and documentation control.
- Maintain strict confidentiality of stock, service, and company data.
- Support management during audits, compliance checks, and reporting.
- Consistently meet deadlines while managing multiple priorities.
Key Skills & Competencies
- Typing speed: 3545 WPM with 98-99% accuracy.
- Strong proficiency in MS Excel (formulas, VLOOKUP/XLOOKUP, reconciliation, MIS preparation).
- Working knowledge of MS Word and Outlook.
- Experience with ERP/service management systems or databases (preferred).
- High attention to detail and accuracy in handling large volumes of data.

Qualifications & Experience
- Graduate in Commerce / Business Administration / Any relevant field.
- 2 - 6 years of experience in service coordination, inventory management, or data administration.
- Freshers with strong Excel skills, accuracy, and learning ability may also be considered.
- Prior experience coordinating with Pan-India service centres will be an added advantage.
