Role Overview:
- The Senior Systems Engineer will be the sole owner of the organizations IT ecosystem, responsible for ensuring zero disruption to daily work, strong data security, and stable, scalable systems across all teams.
- This role requires someone who is hands-on, calm under pressure, proactive, and deeply accountable, capable of troubleshooting any technical issue that arises during a workday in a creative agency setup.
- This is not a support-only role, this is going to be an ownership role/independent contributor role.
Job Role (KRAs):
1. End-to-End IT Infrastructure Ownership:
Own and manage the complete IT infrastructure including:
Servers (Windows Server environment)
Network architecture
Internet connectivity
Office Wi-Fi and LAN
Ensure high availability, stability, and performance of all systems.
Act as the single escalation point for any IT-related breakdowns.
2. Network, Server & Systems Management
Manage and maintain:
Windows Servers (Active Directory, file servers, access controls)
Network switches, routers, firewalls
VPN and remote access systems (if applicable)
Ensure secure user access, role-based permissions, and system integrity.
Monitor system health, uptime, and performance regularly.
3. Day-to-Day Technical Troubleshooting (Critical)
Provide real-time troubleshooting support for:
Laptops/desktops (Windows & Mac, if applicable)
Software issues
Network connectivity
Email and collaboration tools
Printers, peripherals, conferencing tools
Ensure minimal downtime for creative, client-facing, and leadership teams.
Prioritise issues based on business impact and urgency.
4. IT Security, Data Protection & Risk Management
Implement and maintain:
Antivirus and malware protection
Endpoint security controls
Data backup and recovery systems
Ensure protection against:
Viruses
Malware
Phishing attacks
Data breaches
Conduct periodic IT security checks and audits.
Ensure compliance with internal IT security policies and data protection standards.
5. IT Policies, Compliance & Audit Readiness
Draft, implement, and maintain:
IT usage policy
Data security policy
Device usage and access policy
Support internal and external IT audits.
Maintain proper documentation for:
Systems
Access controls
Security measures
Work closely with HR and compliance partners when required.
6. IT Inventory & Asset Management
Maintain complete ownership of:
IT inventory (laptops, desktops, accessories, servers, networking devices)
Software licenses and renewals
Track:
Asset allocation
Repairs
Replacements
Decommissioning
Ensure accurate IT asset records at all times.
7. Biometric Time& Attendance Systems Integrations
Own and manage:
Biometric attendance systems
Integration with HR systems (Zoho or equivalent)
Ensure:
1. Accurate data sync
2. Minimal errors
3. Quick resolution of attendance/system issues
4. Coordinate with HR for system updates and fixes.
8. Software & Hardware Management
Install, configure, and maintain:
Operating systems
Licensed software
Agency-specific tools and applications
Ensure timely updates, patches, and upgrades.
Coordinate with vendors for:
1. AMC
2. Repairs
3. Hardware procurement
4. Recommend upgrades aligned with business growth.
9. Proactive Maintenance & Prevention
Conduct regular:
System health checks
Network performance reviews
Backup testing
Anticipate potential failures and resolve them before impact.
Reduce recurring issues through root-cause analysis.
10. Cross-Functional Coordination & Ownership Mindset
Work closely with:
HR (on systems, access, onboarding/offboarding)
Accounts (on audits, asset records)
Founders and leadership (on critical risks and upgrades)
Communicate clearly, calmly, and responsibly.
Take complete ownership, not just ticket-based execution.
