Job Description: Senior Manager Administration

Location: Noida


1. Role Objective

The Senior Manager Administration will lead end-to-end administration, workplace operations, and facilities management for the Noida site. The role focuses on creating a modern, safe, efficient, and high-quality workplace experience that enables employee productivity and enhances overall employee satisfaction.


2. Key Responsibilities

A. Administration & Facilities Management

  • Oversee day-to-day administration across the office, production areas, and common facilities.
  • Ensure smooth functioning of housekeeping, security, pantry, transport, and front-office operations.
  • Manage space planning, seating allocation, and efficient utilization of workspaces.
  • Lead infrastructure upkeep: electrical systems, HVAC, DG, UPS, CCTV, fire safety, and access control.


B. Employee Experience & Workplace Initiatives (New Focus Area)

  • Design and implement Employee Experience (EX) programs that uplift comfort, engagement, and well-being.
  • Introduce smart workplace solutions (digital access systems, helpdesk ticketing, self-service apps).
  • Develop Great Workplace Experience standards including cleanliness scorecards, ambience audits, and service SLAs.
  • Lead Workplace Aesthetics Enhancements : collaborative spaces, meeting room redesign, greenery/biophilic elements.
  • Create employee convenience services such as concierge support, on-site wellness services, transportation improvements, ergonomic assessments, and cafeteria upgrades.
  • Partner with HR to improve onboarding experience through welcome kits, guided facility orientation, and workspace readiness.
  • Conduct Employee Experience Surveys for workplace services and implement quarterly action plans.
  • Introduce sustainability initiatives : energy control, waste reduction, green office programs, and water efficiency projects.


C. Vendor & Contract Management

  • Manage all key vendors for security, housekeeping, cafeteria, facility management, and maintenance.
  • Ensure SLA/KPI governance, performance reviews, and effective issue resolution.
  • Drive cost optimization while ensuring service quality and employee comfort.


D. Compliance, Safety & Statutory Adherence

  • Ensure adherence to local regulations, building bylaws, statutory permits, and safety standards.
  • Lead Fire Safety & EHS programs, including audits, safety drills, and risk assessments.
  • Maintain documentation for compliance, health & safety requirements.


E. Workplace Support Services

  • Oversee cafeteria operations and quality controls.
  • Manage transport operations, route planning, and safety of employees.
  • Drive visitor management, travel support, front desk operations, and event logistics.


F. Budgeting & Cost Control

  • Prepare and manage yearly admin budgets, monitor consumption, and optimize costs.
  • Ensure strict validation of invoices, vendor billing accuracy, and monthly variance reporting.


G. Team Leadership & Governance

  • Lead and motivate the Admin & Facility Operations team.
  • Implement SOPs, checklists, performance dashboards, and governance frameworks.
  • Ensure timely reporting of admin metrics, cost trackers, and facility health reports.


H. Business Continuity & Crisis Management

  • Develop and maintain Business Continuity Plans (BCP) for site operations.
  • Coordinate emergency preparedness, evacuation planning, and crisis communication.


3. Key Skills & Competencies

  • Strong knowledge of workplace operations, facility management, and compliance.
  • Proven experience in employee-centric administrative programs.
  • Project management skills for space expansion, renovations, and workplace upgrades.
  • Excellent negotiation, vendor management, and cost-control skills.
  • High stakeholder management capability and service orientation.
  • Agile, solution-driven, and capable of managing high-pressure operational situations.


4. Qualifications & Experience

  • Bachelors Degree; Masters in Administration / Facility Management preferable.
  • 1015 years of experience in Administration & Facilities Management.
  • Experience managing operations for a mid-to-large corporate or manufacturing site.
  • Exposure to employee experience programs, workspace transformation, and service excellence is highly desirable.
