Job Description

Purpose of Position

We are looking for a versatile, highly organized individual to perform personalized administrative support for senior management team members.


Key Requirements

  • Qualification Required: Bachelor's in Commerce or equivalent
  • Skill Set Required: Organizational Excellence, Advanced Communication, Administrative Expertise, Problem-Solving Ability, Discretion and Confidentiality, Interpersonal Skills, Travel Coordination
  • Years of Experience: 5+
  • Specific Experience: Experience in a similar administrative role
  • Accountability: The individual will report to the Managing Director & CMO
  • Number of Positions: 1
  • Location: Ahmedabad
  • Department: Human Resources & Administration
  • Timings: General Shift (9:00 AM to 6:15 PM)


Job Responsibilities


Executive & Business Support

  • Manage and prioritize calendars, meetings, appointments, and reminders.
  • Coordinate internal and external communication emails, calls, messages & follow-ups.
  • Prepare meeting agendas, minutes, presentations, briefs, and action trackers.
  • Track and follow through on key tasks and commitments to closure.
  • Coordinate with internal teams and external stakeholders on behalf of leadership.
  • Maintain organized and confidential digital & physical records.
  • Assist in organizing leadership reviews, board/partner interactions, customer visits & key meetings.
  • Represent the MD & CMOs office with professionalism at all times.

Travel & Logistics

  • Plan and coordinate domestic & international travel.
  • Manage itineraries, bookings, visas, accommodation & transportation.
  • Ensure smooth execution around travel schedules.


Financial Administration

  • Handle expense report preparation and submission, manage petty cash, and process invoices and track budgets for executives.


Office Management:

  • Oversee and manage the executive office area, ensuring all necessary supplies and equipment are available and operational.


Documentation and Correspondence:

  • Draft, proofread, and edit external correspondence, reports, and other documents on behalf of the senior leadership.


Meeting Logistics:

  • Coordinate all necessary logistics for large meetings, including room setup, catering, and technology requirements (A/V, video conferencing).
