Job Summary:

Independent Contract work. Full time. We are seeking a proactive, detail-oriented, and tech-savvy Executive Assistant to support our team with a mix of administrative tasks, reporting, social media, client communications, and platform work. The ideal candidate is a fast learner, highly organized, and takes initiative to get things done efficiently and accurately. This is for SEASONED, EXPERIENCED candidate only. Meeting deadlines is important for this task.


IDEAL CANDIDATE: Has a minimum of 2 years of continuous experience with a single company, reflecting loyalty, professionalism, and a demonstrated track record of performance. Please do not apply if you do not meet this requirement; we will be testing candidates.


Core Responsibility:


This role requires exceptional attention to detail, strong data discipline, and comfort working in high-stakes, deadline-driven environments.

  • Confident, daily operation of **Passkey Reservation System (event housing platform not Passkey Authentication), along with Resiada and Cvent - NON NEGOTIABLE
  • Build, configure, and manage complex convention housing blocks within Passkey and Resiada
  • Generate, analyze, and maintain accurate reports, rooming lists, and audits
  • Create and manage RFPs and pull detailed reporting from Cvent as required
  • Support event logistics and operational execution across multiple concurrent programs
  • Create, update, maintain, and enhance professional, client-ready presentations
  • Ability to work independently, catch errors before they escalate, and take ownership of system accuracy is mandatory
  • Ensure the highest level of attention to detail and accuracy
  • Organizational Skills: Ability to manage multiple tasks, prioritize effectively, and meet deadlines
  • General Administrative Support


**Passkey is a complex system; training will be provided, but candidates must be highly tech-savvy, process-oriented, and confident learning advanced tools quickly.


This role is a strong fit for candidates who:

  • Are highly tech-savvy and comfortable learning complex, non-intuitive systems quickly
  • Have operated enterprise tools (event tech, CRM, ERP, booking, reporting, dashboards, etc.) and are not intimidated by them
  • Are detail-obsessed and catch issues others missespecially in data, rooming lists, and reports
  • Can own client-facing presentations end-to-end and improve them proactively (structure, clarity, accuracy, polish)
  • Work confidently with minimal hand-holding and take accountability for outcomes
  • Thrive in fast-paced, deadline-driven environments with multiple concurrent priorities

  • Are uncomfortable with complex systems, data, or troubleshooting
