To help enable this growth, we are seeking an Executive Assistant to support our CBO and possibly other members of our executive management team and do whatever is necessary to keep the entire company happy, vibrant, productive, and achieving excellence.

The responsibilities of the position are broad and dynamic. They can only be summarized as whatever it takes to remove distractions and keep our CBO and executives focused on scaling the business.  Our ideal candidate derives joy from enabling others and takes pride in the little details that define the difference between good and great, is always eager to lend a helping hand and not afraid to roll the sleeves up and lead by example.

Position Summary
We’re looking for a resourceful, detail-obsessed, and emotionally intelligent Executive Assistant to support our COO and leadership team. This is a dynamic and high-impact coordination role that goes beyond calendars and emails—it’s about clearing obstacles, connecting the dots, and keeping everything running seamlessly behind the scenes.

Executive Presence & Stakeholder Management

  • Represent the Executive Office with poise, professionalism, and discretion.
  • Interface with the Board of Directors, customers, leadership, and employees.
  • Manage and elevate executive-level interactions with confidence and grace.

Meeting & Calendar Management

  • Coordinate complex, fast-changing calendars across multiple time zones and stakeholders.
  • Schedule and manage Board meetings, executive team off-sites, customer engagements, and speaking events.
  • Ensure meeting logistics are handled: facilities, A/V, catering, security, and materials.
  • Keep executives on track and informed — including attendee names, roles, and context.
  • Set up and clean up meetings, both virtual (Zoom, Teams) and in-person.

Travel & Logistics

  • Plan and manage intricate travel itineraries with foresight and flexibility.
  • Coordinate all travel-related needs: bookings, ground transportation, and contingency planning.

Administrative & Operational Support

  • Organize and submit accurate and timely expense reports.
  • Anticipate executive needs — schedule buffers, coordinate meals, arrange personal appointments, and manage important dates (e.g., birthdays, anniversaries).
  • Arrange gifts or gestures for key personal/professional milestones.
  • Partner with HR to deliver a best-in-class onboarding experience for senior hires.
  • Support event coordination for internal/external meetings, trainings, and team gatherings.

Cross-Functional Collaboration

  • Collaborate with HR, Marketing, Office Management, IT, and Facilities for seamless operations.
  • Ensure the office environment is stocked, clean, and guest-ready at all times.
  • Coordinate weekly office lunches and maintain office supplies and logistics.
  • Greet and escort guests, manage mail, packages, calls, and general inquiries.

Project Management & Process Improvement

  • Track and drive completion of key deliverables and follow-ups.
  • Take on special projects, research tasks, and ad hoc responsibilities as needed.
  • Propose and implement improvements to streamline administrative workflows.
