Job Description
Title- Senior Assistant to the CEO
Location: Gurugram, In Office
Employment Type: Full-Time
About the Role:
This is a high-impact role that goes beyond a traditional Executive Assistant position. The Senior Assistant to the CEO will act as a strategic right hand, ensuring seamless coordination across both professional and personal priorities of the CEO.
The role requires exceptional ownership, discretion, and the ability to anticipate needs, remove operational friction, and ensure strong follow-through across all tasks and stakeholders
Key Responsibilities:
Founder & CEO Support-
1. Calendar & Schedule Management
- Manage and finalize the CEOs calendar proactively on a daily basis
- Anticipate scheduling conflicts and resolve them efficiently
- Coordinate meetings with internal teams, external stakeholders, and partners
- Ensure regular cadence meetings are scheduled and maintained
2. Documentation & SOP Management
- Create, structure, and maintain Standard Operating Procedures (SOPs)
- Assist teams in documenting and organizing workflows
- Take detailed meeting minutes and circulate action items within 24 hours
- Build and maintain an internal knowledge repository
3. Personal & Lifestyle Management
- Manage personal appointments (medical, travel, etc.)
- Handle online purchases, gifting, and ad-hoc personal tasks
- Track and manage key personal deadlines, renewals, and subscriptions
4. Accountability & Follow-Through
- Track ownership across key workstreams and ensure timely completion
- Participate in meetings to monitor execution and outcomes
- Proactively follow up on pending decisions and tasks
- Ensure nothing delegated is left incomplete
5. Finance & Bills Tracking
- Maintain trackers for personal and professional expenses and payments
- Coordinate with the accounts team for documentation and updates
- Monitor upcoming dues, payments, and financial deadlines
- Work with spreadsheets (Excel/Google Sheets) for tracking and reporting
What Were Looking For:
- 36 years of experience in Founders Office / EA to CEO / Chief of Staff / Ops / Brand roles
- Strong exposure to social media (especially LinkedIn) and content execution
- Excellent project management & multitasking skills
- Tech-savvy, quick learner, and process-oriented
- Highly street-smart, business-minded, and execution-focused
- Strong communication, discretion, and stakeholder management skills
