SINCLUS is a Recruitment Company specialized in sourcing of engineering professionals for Global Organizations in the Oil and Gas / Power / Infrastructure sectors .
We have the following open positions for one of our Clients in their Navi Mumbai Office.
Job Title: Secretary CEO (Chief Executive Officer)
Job Summary
The Secretary to the CEO provides high-level administrative and executive support to the Chief Executive Officer. The role requires exceptional organizational skills, discretion, and the ability to manage confidential information while coordinating the CEOs daily operations, communications, and schedules.
Key Responsibilities
Administrative & Executive Support
- Manage the CEOs calendar, appointments, meetings, and travel arrangements
- Prepare, edit, and format correspondence, reports, presentations, and briefing materials
- Act as the primary point of contact between the CEO and internal/external stakeholders
- Screen calls, emails, and requests, prioritizing urgent matters
Meeting & Communication Management
- Organize and coordinate executive meetings, board meetings, and conferences
- Prepare agendas, take accurate minutes, and follow up on action items
- Handle confidential and sensitive information with the highest level of discretion
Office & Information Management
- Maintain organized filing systems (physical and electronic)
- Track deadlines, commitments, and key deliverables for the CEO
- Ensure smooth information flow between the CEO and departments
Coordination & Liaison
- Coordinate with senior management, clients, partners, and government or regulatory bodies when required
- Assist in planning company events, executive functions, and official engagements
General Support Duties
- Perform other administrative tasks as assigned to support executive efficiency
- Anticipate the CEOs needs and proactively resolve administrative issues
Qualifications & Skills
Education & Experience
- Bachelors degree or diploma in Business Administration, Secretarial Studies, or related field
- Proven experience as an executive secretary or executive assistant, preferably supporting senior leadership
Skills & Competencies
- Excellent written and verbal communication skills
- Strong organizational and time-management abilities
- High level of professionalism, integrity, and confidentiality
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and office management tools
- Ability to work independently and handle pressure in a fast-paced environment
