Job Description

Job Summary

The IT CoE SAP Change Coordinator - L2 resource is responsible for monitoring, reporting, and ensuring compliance with change management processes within the SAP ERP landscape. The role involves close collaboration with AMS teams, project stakeholders, and governance boards to maintain system integrity, streamline release cycles, and uphold quality standards.

Functional responsibilities

Operational Change coordinator working with IT Service Owner in Belgium to review all SAP changes.

Ensure efficient flow of Change Requests in remedy.

Review and Approve changes and ensure they are posted to the Change Calendar.

Create, publish and maintain the release calendar for SAP support and SAP projects in an N+1 landscape and ensure alignment with key partners and vendors.

Review the implemented changes to ensure they have met the stated goal and close them. If any has completed with issues or failed/ was backed out; bring them to the attention of CAB for lessons learned

Ensure PIR reviews are performed, where required

Assure there is a change record for all the changes performed within UCB GBL domain.

Prepare the CAB agenda, decide who needs to attend the CAB meeting and send out the meeting invitation.

Run the CAB meeting and send out the CAB meeting minutes.

Attend the e-CAB meetings for Emergency Changes and send out meeting minutes

Ensure the Change Calendar is always up-to-date.

Monitor CRQ target dates and report missed deadlines.

Validate task closure justifications for CRQs.

Prepare monthly SAP ECC CRQ summaries, including closed CRQs and linking to release WOs.

Monitor pending incidents and validate justification; review resolution notes for completeness.

Share PE1 transport overview with UNITY team; monitor PIR transport deployments and initiate PIR/RCA if needed.

Ensure readiness of changes for release by reaching Task 250 milestones.

Support ERP Council and PAC board governance.

Conduct review sessions for S/4HANA backlog items and monitor new backlog items for clarity.

Review and capture release dates during AMS Horizon SAP CAB meetings and distribute reports.

Work closely with the UCB Change Team to (re)define and establish CAB processes and governance on S/4HANA

Produce weekly/monthly reports on Change Management including volumes and KPIs

If breaches of process are detected, escalate it to the IT Service Owner.

Based on the reports ran, ensure that there are no tickets left awaiting closure

Take part in preparing SOPs, SOP-AI, Work Instructions for the process

Work on Continuous Service Improvement for the process.

Training of technical teams on the SAP change management process.

Knowledge of various SAP modules like FICO, MM, WM, IM etc.(Good to Have)

Understanding of SAP transports. (Good to Have).

Prepare Monthly KPI reports for the SAP Change Management and share it with the Management


Experience

3-5 years of relevant experience


Mandatory Skills

Excellent knowledge of change management process and releases.

Excellent Knowledge on MIS Reporting & KPI generation.

Knowledge of ERP preferably SAP, Applications or Shared services environments

Good theoretical and practical exposure to ITIL framework.
