Job Title: Sales co-ordination & Accounting

Department: Sales & Marketing

Location: Pimple Gurav/ Bhosari, Pune

Reporting To: Managing Partner

Job Purpose

To support the sales team & customers by managing customer inquiries, preparing quotations, coordinating orders, and ensuring timely communication with customers and internal departments to achieve customer satisfaction and sales targets.


Key Responsibilities

  1. Customer Communication & Support
  • Handle incoming customer calls, emails, and enquiries.
  • Understand customer requirements and provide product details, pricing, and availability.
  • Coordinate with customers regarding order status, delivery schedules, and documentation.
  1. Quotation & Order Processing
  • Prepare and send quotations as per company pricing policies.
  • Follow up on quotations to convert them into orders.
  • Create sales orders in the ERP system and ensure accuracy of details.
  1. Coordination
  • Coordinate with the store, purchase, logistics, and dispatch teams for order execution.
  • Ensure timely dispatch of materials and share dispatch updates with customers.
  • Work closely with the finance team for payment follow-ups when required.

4.Technical & Product Support Good to Have

  • Provide basic technical clarification to customers regarding compatible fittings, thread standards (BSP, JIC, ORFS, METRIC, NPT), hose pressure ratings, etc.
  • Check availability of alternate or equivalent parts if the standard part is not available.

5. Payment & Documentation Support

  • Send Proforma Invoices (PI), delivery challan, test certificates, and dispatch documents.
  • Coordinate with the Accounts team for pending payments / invoices as needed.

6.Documentation & Reporting

a.Maintain customer records, sales reports, and order-tracking sheets.

b.Ensure proper filing of quotations, purchase orders, invoices, and dispatch documents.

c.Provide daily/weekly sales reports to the Sales Manager.

7.Customer Relationship Management

a.Build and maintain healthy business relationships with customers.

b.Understand regular customer requirements and offer suitable solutions/products.

8.Skills & Qualifications:

  • Graduate in Commerce (B.Com) or equivalent
  • Ability to multitask and work under timelines.
  • Strong communication and email drafting skills.
  • 13 years of experience in Sales Coordination & Accounts
  • Good communication and coordination skills
  • Proficiency in MS Excel and MS Office

Work Environment

  • Office-based role (No field visits), If necessary, need to visit at the customer end.
  • Interaction with customers, vendors, and internal teams is frequent.
