Position Overview:

The RFP Associate will be responsible for coordinating, drafting, compiling, and submitting high-quality responses to Requests for Proposals (RFPs), RFIs, and similar documentation. This role requires strong documentation skills, cross-functional coordination, and the ability to understand technical AI products well enough to articulate their value clearly and accurately.

This is a documentation-heavy, process-driven role that plays a critical part in winning enterprise deals.

Key Responsibilities:

Manage end-to-end RFP lifecycle from receipt to submission.

Analyze RFP requirements and break them down into actionable sections.

Collaborate with Product and Leadership teams to gather inputs.

Draft clear, accurate, and compelling responses tailored to each client.

Translate technical capabilities (Gen AI, agentic workflows, integrations, security architecture) into client-friendly language.

Maintain and continuously improve the internal RFP response repository (content library).

Ensure compliance with submission guidelines, formatting standards, and deadlines.

Track submission timelines and coordinate follow-ups.

Compile supporting documentation such as:

oCompliance documents

oCase studies

oArchitecture diagrams

oProduct documentation

oCompany credentials

Support creation of executive summaries and differentiators.

Assist in building reusable templates and automation processes for faster RFP turnaround.

Skills & Qualifications:

Strong written English skills with excellent grammar and clarity.

Exceptional attention to detail.

Ability to manage multiple deadlines simultaneously.

Strong organizational and coordination skills.

Comfort working with structured documents, spreadsheets, and collaborative tools.

Ability to understand technical documentation and convert it into structured responses.

Good to Have:

Prior experience filling IT / SaaS / AI / Software RFPs.

Background in IT, Computer Science, Engineering, or related technical field.

Exposure to:

oAI/ML platforms

oCloud infrastructure (AWS, Azure, GCP)

oSecurity & compliance frameworks (ISO, SOC2, etc.)

oExperience working in a startup or high-growth tech environment.

oFamiliarity with enterprise procurement processes.
