Job Description: Project Coordinator Operations

Location: GCC, Chennai

Role Summary

The Project Coordinator will support the Operations PMO by capturing, updating, and maintaining real-time project data in Smartsheet, enabling accurate tracking of milestones, risks, dependencies, and deliverables. This role plays a key part in ensuring project visibility, data accuracy, and timely reporting across supply chain initiatives.

Key Responsibilities

Project Coordination & Tracking

  • Capture real-time project updates from project managers, operations teams, and stakeholders.
  • Maintain and update project plans, trackers, timelines, and dashboards in Smartsheet.
  • Track milestones, dependencies, action items, risks, and issues across multiple projects.

PMO Support

  • Support PMOs with accurate and up-to-date project data to enable effective governance and decision-making.
  • Assist in preparing weekly/monthly project status reports, dashboards, and management presentations.
  • Ensure adherence to PMO standards, templates, and reporting cadence.

Operational Alignment

  • Coordinate with operations teams (warehousing, transportation, technology, analytics, etc.) to gather progress updates.
  • Follow up on pending actions and highlight delays, risks, or deviations from plan.
  • Support change tracking and documentation of scope, timelines, and deliverables.

Data Accuracy & Governance

  • Ensure data integrity, version control, and consistency across Smartsheet trackers.
  • Maintain documentation repositories and audit trails for project updates.
  • Support internal audits and reviews related to project reporting.

Continuous Improvement

  • Identify gaps in project tracking and suggest improvements to PMO reporting processes.
  • Support automation and optimization of Smartsheet workflows and alerts.


Required Qualifications & Skills

Education

  • Bachelors degree in Business Administration, Operations, Engineering, or related field.

Experience

  • 25 years of experience in project coordination, PMO support, or operations tracking.
  • Prior experience in Supply Chain, Logistics, Warehousing, or GCC environments preferred.

Technical Skills

  • Hands-on experience with Smartsheet (mandatory).
  • Proficiency in MS Excel, PowerPoint, and project tracking tools.
  • Exposure to project management tools (MS Project, Jira, Asana, or similar) is a plus.

Soft Skills

  • Strong attention to detail and data accuracy.
  • Excellent coordination and follow-up skills.
  • Ability to work with multiple stakeholders and projects simultaneously.
  • Clear written and verbal communication skills.
