Product Definition Analyst 4

Key Responsibilities 

  • Software Sourcing and Procurement: Identify and evaluate software vendors, negotiate contracts, and manage supplier relationships to ensure the acquisition of high-quality software solutions at competitive prices. 

  • Financial Analysis and Modeling: Conduct thorough economic analyses, develop financial models, and provide insights to support IT investment decisions and budget planning. 

  • Purchasing Role: Collaborate with the purchasing department to align IT procurement strategies with overall company purchasing policies and objectives. 

  • Contract Management: Oversee the drafting, negotiation, and management of IT contracts, ensuring compliance with legal and regulatory requirements as well as company policies. 

  • Cost Optimization: Identify opportunities to optimize IT spending, reduce costs, and improve financial performance through innovative sourcing and contract strategies. 

  • Risk Management: Assess and mitigate risks associated with IT procurement and contracts, ensuring the protection of the company’s interests. 

  • Stakeholder Collaboration: Work closely with IT, finance, legal, and other relevant departments to ensure cohesive and effective procurement processes. 

  • Support in requirements definition: Help business teams to structure technical, functional, non-functional, and commercial requirements.  

  • Negotiating a favorable contract for the business: Involves several critical steps to ensure that the terms agreed upon benefit the organization both in the short-term and long-term. The process begins with a thorough understanding of the business's needs and objectives, as well as a comprehensive assessment of the vendor's capabilities and market conditions. 

  • Maintain vendor relationship: Involves several key activities to ensure a positive and productive partnership with vendors. This includes regular communication to keep both parties informed about expectations, performance, and any changes in requirements. It also involves monitoring the vendor's performance to ensure they meet agreed-upon service levels and quality standards.  

  • Provide technical and commercial expertise: Involves offering specialized knowledge and skills in both technical and commercial domains to support various business activities.   

  • Provide fast and reliable business intelligence: By having fast and reliable business intelligence, organizations can identify trends, uncover insights, and respond to market changes more effectively, ultimately leading to better strategic planning and improved operational efficiency.  

  • Provide assistance in problem resolution and escalation - This involves actively listening to concerns, identifying the root causes of issues, and working collaboratively with team members to develop effective solutions. Additionally, it includes escalating unresolved problems to higher levels of management or specialized departments for further investigation and resolution.  

  • Support in exploration of vendors from the market and choosing the right business partner : Involves several key activities to ensure that your organization selects the most suitable vendors and business partners. This process begins with identifying potential vendors in the market who can meet your organization's technical, functional, non-functional, and commercial requirements. It includes conducting thorough research and analysis to evaluate the capabilities, reputation, and reliability of these vendors.  

  • Leverage on providers - This involves identifying the strengths and expertise of various providers and utilizing their services to complement and support your internal operations.  

  • Facilitate the RFX process in coordination with PUR towards suppliers: Involves managing the Request for Proposal (RFP), Request for Information (RFI), and Request for Quotation (RFQ) processes. This includes working closely with the procurement (PUR) team to ensure that all supplier interactions are streamlined and efficient. The goal is to gather comprehensive information from potential suppliers, evaluate their proposals, and select the best partner for the organization.    

  • Support Service Owners around Life-Cycle related topics: By offering this support, you help Service Owners make informed decisions, optimize performance, and ensure the service remains aligned with business objectives.  

  • Support compliance and security requirements (SRA, ASR, Audits) : By maintaining a strong focus on compliance and security, you can mitigate potential risks associated with vendor relationships and ensure that your organization remains protected against threats and breaches.  

  • Support in Service Management: Organize Service Management meetings with Vendors to ensure Service Quality.  

  • Calculate SLA penalty and align with Vendors to get credit notes : Involves several steps to ensure that service level agreements (SLAs) are met and any deviations are addressed appropriately. This process begins with monitoring the vendor's performance against the agreed-upon SLAs, which outline the expected level of service, response times, and other key metrics. If the vendor fails to meet these standards, penalties may be imposed as specified in the contract.  

Qualifications 

  • Educational Background: Bachelor's degree in Economics, Finance, Business Administration, Information Technology, or a related field. A Master's degree is preferred. 

  • Experience: Overall experience of 5 to 10 years in IT industry, with a minimum of 5 years of experience in IT procurement, software sourcing, financial analysis, or a related field. 

  • Technical Knowledge: Strong understanding of software sourcing methodologies, IT contracts, and contract management principles. 

  • Financial Acumen: Proficiency in financial modeling, economic analysis, and budget planning. 

  • Purchasing Expertise: Knowledge of purchasing roles and best practices within an IT context. 

  • Analytical Skills: Exceptional analytical and problem-solving abilities with a keen eye for detail. 

  • Communication Skills: Excellent verbal and written communication skills, with the ability to convey complex information clearly and concisely. 

  • Negotiation Skills: Proven track record of successful contract negotiations and vendor management. 

  • Team Collaboration: Ability to work effectively in a cross-functional team environment. 

  • Certifications: Relevant professional certifications (e.g., CIPS, CPSM, ITIL) are a plus.
