Role Overview

We are looking for a highly organized, proactive, and resourceful Personal Assistant (PA) to the Director. The candidate will support the Director in day-to-day operations, coordination across departments and smooth execution of business and personal tasks.


Key Responsibilities


Administrative & Executive Support

  • Manage and maintain the Directors calendar including appointments, meetings, reviews, and travel.
  • Prepare reports, presentations, spreadsheets and official correspondence.
  • Act as the primary point of contact between the Director and internal/external stakeholders.
  • Coordinate travel plans, accommodations, itineraries, and meeting logistics.
  • Maintain organized digital and physical filing systems.
  • Cost efficiency reduction of operating cost by proper alignment of schedule.


Operations & Cross-Department Coordination

  • Coordinate with HR, Admin, Marketing, Sales, Finance, Accounts, and Operations departments on behalf of the Director.
  • Track ongoing tasks, priorities, deadlines, and ensure timely updates to the Director.
  • Support operational activities related to derma/cosmetic product launches, vendor coordination, and documentation.
  • Marketing Support and proper budget resource allocation.


Personal & Miscellaneous Assistance

  • Assist the Director with personal tasks, reminders, and errands when required.
  • Provide decision-making support through timely reminders, updates and follow-through on action items.


Required Skills & Qualifications

  • Bachelors degree in Business Administration or relevant field.
  • 24 years of experience as a Personal Assistant.
  • Strong proficiency in MS Office (Word, Advanced Excel, PowerPoint, Outlook).
  • Excellent verbal and written communication skills with good analytical skills.
  • Strong interpersonal skills and professional etiquette.
  • Exceptional time management, multitasking, and organizational abilities.
  • Familiarity with product documentation, vendor coordination and compliance processes.
  • Flexible with working hours and responsive during urgent requirements.
