Job Summary
We are seeking a highly organized, proactive, and detail-oriented Personal Secretary to the CEO to provide comprehensive administrative, financial, and operational support. The ideal candidate will act as a strategic partner to the CEO, ensuring smooth coordination of meetings, travel, financial management, app development tracking, and sales reporting.
This role requires flexibility, strong communication skills, financial understanding, and a willingness to travel extensively across India including accompanying the CEO on business trips.
Key Responsibilities
1. Executive & Administrative Support
- Manage the CEOs calendar, appointments, and daily schedule.
- Coordinate and organize client meetings, board meetings, and internal reviews.
- Prepare meeting agendas, minutes, presentations, and follow-up reports.
- Handle confidential correspondence and documentation with discretion.
2. Client & Meeting Coordination
- Schedule and coordinate client meetings across various locations in India.
- Travel with the CEO for business meetings, conferences, and corporate events.
- Ensure all meeting materials, presentations, and documents are prepared in advance.
- Maintain strong professional relationships with clients and stakeholders.
3. Travel Management
- Plan and manage domestic travel arrangements including flights, accommodation, and logistics.
- Accompany the CEO on official travel when required to provide on-ground coordination and support.
- Prepare detailed travel itineraries and ensure smooth execution of travel plans.
- Manage travel expenses and maintain proper documentation.
4. Financial & Accounts Management
- Maintain and monitor company accounts, expenses, and financial records.
- Assist in budgeting, expense tracking, and financial reporting.
- Coordinate with finance teams and external accountants for compliance and audits.
- Prepare periodic financial summaries and reports for the CEO.
5. App Development & Reporting Support
- Assist the CEO in tracking app development progress and deliverables.
- Coordinate with the technical team for milestone updates.
- Compile and present project status reports and performance metrics.
- Maintain organized documentation of development timelines and reports.
6. Sales Team Coordination
- Coordinate with sales teams for weekly and monthly performance updates.
- Track and report sales progress against targets.
- Prepare dashboards and summary reports for management review.
- Ensure effective communication between the CEO and sales team.
Qualifications & Skills
- Bachelors degree in Business Administration, Finance, or related field.
- 36 years of experience as an Executive Assistant, Personal Secretary, or similar role.
- Strong understanding of accounting and financial reporting.
- Excellent organizational and multitasking abilities.
- Proficiency in MS Office (especially Excel & PowerPoint).
- Strong communication and interpersonal skills.
- High level of confidentiality and professionalism.
- Willingness to travel extensively across India and accompany the CEO on official trips.
- Ability to work in a fast-paced and dynamic environment.
