Job Description
1 Manage all incoming correspondence and phone calls, schedule and coordinate
meetings and appointments, often managing access to the executive
2 Maintain the executives agenda and support the planning of meetings, appointments,
board sessions, and conferences
3 Attend meetings to take accurate minutes and ensure timely distribution and follow-up
4 Receive, screen, and redirect phone calls to the appropriate parties
5 Handle and prioritize incoming and outgoing communications, including emails, letters,
and packages
6 Arrange comprehensive travel plans, including transportation, accommodation, and
itineraries
7 Handle sensitive documents and information with discretion, ensuring security and
privacy at all times
8 Prepare invoices, manage expense reports, and assist with basic bookkeeping tasks
9 Monitor inventory of office supplies and negotiate with vendors to secure cost-effective
procurement
10 Maintain both digital and paper filing systems to ensure organized and easily
retrievable documentation
11 Conduct research and compile presentations or reports as needed by the executive
Skills Required
1 Strong ability to communicate clearly and professionally across various formats
2 Effective team player with exceptional organizational and time management
capabilities
3 Diligent and thorough in completing tasks with accuracy and precision
4 Skilled in negotiation, assertiveness, and maintaining flexibility, tact, discretion, and
diplomacy in all interactions
5 Proven top-tier organizational skills to manage complex tasks and competing priorities
efficiently
6 Expertise in maintaining accurate calendars, scheduling, and coordinating events;
strong planning and interpersonal abilities
7 Strong proficiency in Microsoft Office tools, especially Word, Excel, and PowerPoint
8 Proficiency in reading and writing Kannada is mandatory
