Job Description
1) Calendar and Schedule Management
- Manage the CEO’s daily schedule, including setting up meetings, appointments, and events.
- Coordinate with internal and external stakeholders to confirm appointments and ensure that the CEO's time is effectively utilized.
- Anticipate needs and proactively adjust the calendar for urgent matters or changes in priorities.
2) Travel Coordination
- Plan and coordinate complex travel arrangements for both domestic and international trips, including flights, accommodation, ground transportation, and itinerary details.
- Prepare comprehensive travel documentation, including agendas, travel itineraries, and any required materials for meetings.
3) Meeting and Event Support
- Organize and prepare for meetings by creating agendas, collecting documents, and recording minutes.
- Manage logistics for events, including conference rooms, AV setup, refreshments, and any other necessary arrangements.
- Follow up on action items from meetings to ensure timely completion and provide reminders.
4) Document and Communication Management
- Draft, review, and distribute various communications such as emails, letters, and reports on behalf of the CEO.
- Screen and respond to incoming correspondence and phone calls, prioritizing and redirecting as necessary.
- Maintain and organize confidential files, records, and important documents, ensuring easy access when required.
5) Stakeholder Liaison
- Serve as a point of contact between the CEO and staff, clients, and other stakeholders, ensuring timely and effective communication.
- Coordinate with other departments and teams to facilitate the flow of information and ensure all relevant parties are informed of developments and decisions.
6) Administrative and Personal Support
- Handle expense reporting, including processing receipts, tracking expenses, and coordinating reimbursements.
- Provide personal support as needed, including but not limited to household arrangements, appointments, or other personal tasks.
- Maintain a well-organized workspace for the CEO, ensuring all office supplies and materials are readily available.
Education Qualification:
- Bachelor’s Degree in any discipline
Work Experience (Range of years):
- 6+ years of relevant experience
