Job Description
We are looking for a highly organized, proactive, and discreet Personal Assistant to provide end-to-end executive support. This role requires exceptional coordination skills, strong judgment, and the ability to manage multiple priorities in a fast-paced, high-growth environment. The ideal candidate will act as a trusted partner, enabling seamless daily operations and allowing leadership to focus on strategic priorities.
Key Responsibilities1. Executive & Administrative Support- Manage calendars, appointments, and scheduling across internal and external stakeholders
- Coordinate meetings, prepare agendas, take notes, and track follow-ups and action items
- Handle email correspondence, prioritizing and responding on behalf of leadership when required
- Prepare presentations, documents, reports, and briefing notes
- Act as a central point of contact between leadership and internal teams, partners, and vendors
- Ensure timely flow of information and smooth communication across functions
- Follow up with teams to ensure execution of decisions and commitments
- Plan and manage travel, accommodation, and itineraries (domestic & international)
- Organize meetings, offsites, events, and confidential discussions
- Maintain accurate records, documents, and filing systems
- Handle sensitive information with the highest level of discretion and professionalism
- Exercise sound judgment while dealing with confidential and strategic matters
- Support special projects, research, and strategic initiatives as needed
- Anticipate needs, flag risks early, and proactively solve problems
- Act as a reliable right hand in both routine and high-priority situations
- Bachelors degree in any discipline
- 36 years of experience as a Personal Assistant, Executive Assistant, or similar role
- Excellent written and verbal communication skills
- Strong organizational and time-management abilities
- High attention to detail and ability to multitask effectively
- Proficiency in Google Workspace / MS Office (Docs, Sheets, Slides, Calendar)
- Comfortable working in fast-paced, dynamic environments
- Proactive, calm under pressure, and solution-oriented
- Strong interpersonal skills with the ability to interact across seniority levels
- Tech-savvy and quick to learn new tools and systems
- High ownership mindset with a strong sense of accountability
- Leadership time is optimized and well-structured
- Communication and follow-ups never fall through the cracks
- Daily operations run smoothly with minimal escalations
- High trust, reliability, and confidentiality maintained at all times
