About the Role

Were looking for a smart, proactive, and highly organized Personal Assistant & HR Coordinator to work closely with the leadership team at Hyland Media.

This role sits at the center of our operations managing leadership schedules, internal coordination, and communication flow, while also supporting HR functions such as recruitment, onboarding, and team engagement.

Key ResponsibilitiesExecutive & Team Assistance (Primary Focus)
  • Manage calendars, schedules, and appointments for leadership and senior management.
  • Coordinate meetings prepare agendas, take minutes, and ensure timely follow-ups.
  • Act as the central communication link between leadership, internal teams, and external stakeholders.
  • Prepare presentations, reports, and documents for both internal use and client-facing needs.
  • Support creative, digital, and PR teams with campaign coordination and task tracking.
  • Handle travel arrangements, vendor coordination, and expense tracking.
  • Identify operational inefficiencies and proactively ensure smooth day-to-day workflows.
HR Coordination (Secondary Focus)
  • Manage end-to-end recruitment across PR, creative, digital, and client servicing roles.
  • Oversee onboarding, employee documentation, and lifecycle management.
  • Coordinate employee engagement initiatives, team activities, and recognition programs.
  • Maintain attendance, leave, and payroll-related records while supporting compliance.
  • Assist in developing and implementing HR policies suited to a modern creative agency.
Qualifications & Skills
  • Bachelors or Masters degree in Business Administration, HR, or related field.
  • 24 years of experience as an Executive Assistant, Team Coordinator, or HR Executive.
  • Strong organizational and multitasking capabilities.
  • Excellent written and verbal communication skills.
  • Ability to thrive in a dynamic, fast-paced agency environment.
  • Working knowledge of HR processes, recruitment, and compliance.
  • Proficiency in MS Office, Google Workspace, and HR tools is a plus.
