Job Description

Job Overview:

The Payroll Specialist will provide full functional payroll support for the allocated payrolls, ensuring they are processed accurately and on time. They will ensure statutory compliance within their assigned APAC countries are being adhered to and provide updates of legislative changes. They will ensure processing, payments and reporting deadlines are being met in a timely and accurate manner. They will also provide support to the Team Leader and Payroll Manager to promote and implement process excellence and initiatives that will attract, motivate, and retain talented and diverse employees across.

Summary of Responsibilities:

  • Partners with the Payroll Bureaus, as well as all key internal stakeholders in HR, Rewards, Benefits, HR Service Delivery, GPO, Finance, and local Business Units to ensure the effective delivery of the monthly payroll processing, as well as the timely and accurate Year End reporting submission, for the assigned countries. (10%)
  • Responsible for communicating payroll related data to the local payroll bureaus for payroll processing, adhering to the payroll calendar deadlines. (15%)
  • Responsible for validating the payroll output for the assigned countries, as well as for performing peer validation of the final payroll output for other countries before management payments authorization. (25%)
  • Provides monthly Cash Funding Forecast for the assigned countries so that Treasury department can transfer enough funds in the relevant bank account for all payroll and taxes related payments. Manages all net salary payment processes using Fortrea approved platforms; partners with the Accounting team for approval and payment release. (5%)
  • Prepares and checks monthly Payroll Journals, Net to Net Variance and Gross to Net reports for the assigned countries and provides those to IAS Accounting department. Works with the local Payroll Bureaus to ensure that these are supplied on a timely manner before month end reporting submission. Supports all queries that the IAS Accounting team might have on these reports or other payroll related transactions.  (10%)
  • Performs query management through liaising with the Business, the Payroll Vendors, HR and other Fortrea departments as appropriate ensuring timely resolution of queries; Acts as a the first point for escalation of complex payroll related queries from the HR Service Delivery team. (10%)
  • Supports and participates in new initiatives/projects as initiated by the business or local country legislation changes, such as new country implementation, payroll vendor transitions, bank file format compliance, new benefits implementation, local tax and social security changes, local country mandatory salary increase, Fortrea systems upgrades, Disaster Recovery Documentations. (10%).
  • Writes and keeps up to date payroll operating procedures documents to ensure clear guidelines are in place on how to run country specific payroll, good level of understanding multiple countries local legislation, as well as assisting in managing employees’ queries effectively. (5%)
  • Completes monthly payroll metrics on performance; provides other payroll information reports as requested by the business (5%)
  • Ensures regular communications are sent to Fortrea business to ensure employee awareness around transitions or other changes related to payroll. Develops, maintains and facilitates effective relationships with all Stakeholders, Fortrea business functions and specialist functions to ensure Fortrea is returning best value from its supplier relationships. (5% )

Qualifications (Minimum Required):

  • Professional degree/designations/certifications/licenses legally required (i.e. RN, MD, VDM etc.).
  • Payroll or Accounting Qualification is desirable but not essential. 

Experience (Minimum Required):   

  • 6 years payroll experience
  • Numeracy and attention to detail
  • Proficient in Excel 

Preferred Qualifications Include:

  • Any Graduate or Postgraduate

Physical Demands / Work Environment:

  • Office-Based (Hybrid), as requested by the line manager.
