Job Description - Payroll Specialist
 
Job Summary:
We are seeking a highly experienced Payroll Specialist to manage and oversee payroll
operations for 1000-2000 employees. This role will be responsible for coordinating with our
external payroll vendor, verifying payroll data, ensuring accurate tax calculations, and handling
all compliance-related aspects of payroll, including Gratuity, Provident Fund (PF), Employee
State Insurance (ESI), National Pension Scheme (NPS), Maternity Benefits, and other statutory
obligations. The ideal candidate should have extensive experience in payroll processing,
compliance management, and tax regulations.
 
Key Responsibilities:
Payroll Management & Vendor Coordination:
Act as the primary liaison between the company and the outsourced payroll vendor to
ensure seamless payroll processing.
Review and validate payroll inputs such as salary revisions, new hires, exits, deductions,
incentives, and reimbursements.
Verify the final payroll reports before processing payouts, ensuring 100% accuracy.
Ensure timely payroll execution and salary disbursement.
Taxation & Compliance:
Ensure accurate computation and deduction of Income Tax (TDS), Provident Fund (PF),
ESI, NPS, Gratuity, and Professional Tax (PT).
Stay updated with payroll-related laws and ensure compliance with all statutory
requirements.
Handle payroll audits, inspections, and coordinate with regulatory authorities when
required.
Ensure compliance with Maternity Benefits Act, Payment of Wages Act, and Minimum
Wages Act.
Prepare and file periodic statutory reports such as PF, ESI, Employee TDS, and
professional tax filings.
Having experience in processing of Equity would be a plus
Employee Support & Reporting:
Address payroll-related queries from employees and ensure timely resolution.
Generate payroll reports and analytics for internal stakeholders, including finance and
HR teams.
Assist in budgeting and forecasting payroll expenses.
 
Key Requirements:
Education & Experience:
Bachelor’s/Master’s degree in Finance, HR, Accounting, or a related field.
8+ years of payroll experience, with at least 5 years handling payroll for 1000-2000
employees.
Prior experience working with outsourced payroll models.
Strong knowledge of Indian payroll laws, tax calculations, and statutory compliance.
Experience in using payroll software and HRMS.
 
Skills & Competencies:
Excellent knowledge of payroll processing, reconciliation, and tax deductions.
Strong analytical and problem-solving skills.
Detail-oriented with a high degree of accuracy in payroll verification.
Strong vendor management and negotiation skills.
Proficiency in Excel and payroll management software.
Ability to work under tight deadlines and handle confidential information with integrity.
