Job Description

Job Title: Executive Associate to the COO/CTO

Office Location: Noida, UP (On-site)

Reports To: Chief Operating Officer (COO) / Chief Technology Officer (CTO)

Experience: 0-2 Years

Type: Full-Time


The Role

We are seeking a strategic and organized Executive Associate to work directly with the

COO/CTO. In this role, you will act as a key operational partner, ensuring that business

strategies, project governance, and internal initiatives are executed effectively.

You will function as the central nervous system for the Operations and Technology departments,

facilitating cross-functional communication, ensuring data integrity in our project management

systems, and leading special strategic projects. This is a high-impact role designed for a

generalist who thrives in a fast-paced environment.


Key Responsibilities

1. Operational Governance & Reporting

- Meeting Management: Orchestrate high-level executive review meetings. Prepare

agendas, collate performance data from various departments, and ensure all reporting

dashboards are updated prior to reviews.

- Action Item Tracking: document minutes of meetings (MoM), define clear action items,

and relentlessly follow up with department heads and program managers to ensure

timely closure of tasks.

- Process Compliance: Conduct regular audits of project management tools (e.g., Jira,

Dashboards) to ensure teams are adhering to Standard Operating Procedures (SOPs)

and maintaining data hygiene.


2. Strategic Projects & Knowledge Management

- L&D Coordination: Lead the deployment of internal Learning & Development initiatives.

Coordinate with subject matter experts to create training content, ensure quality

standards, and manage the Learning Management System (LMS).

- Digital Transformation: Spearhead knowledge management initiatives, organizing

internal digital assets and documentation to prepare the organization for future AI/Tech

integrations.


3. Quality Assurance & Executive Support

- Pre-Launch Audits: Conduct quality assurance (QA) checks on project deliverables

(websites, user journeys, communication flows) before public launch to ensure they meet

company standards.

- Information Triage: Act as the first point of contact for the COO/CTO, filtering incoming

requests, drafting responses for routine operational matters, and prioritizing critical

escalations.


Candidate Profile

- Detail-Oriented: You have a keen eye for detail and can spot errors in data, documents,

or processes immediately.

- Structured Thinker: You are proficient in organizing chaos. You excel at using tools like

Microsoft Excel/Google Sheets to track complex data.

- Proactive Communicator: You possess strong written and verbal communication skills

and are comfortable following up with senior stakeholders to get things done.

- Tech-Adept: Familiarity with project management software (e.g., Jira, Asana) and a

quick learner of new enterprise tools.

- Problem Solver: You approach challenges with a solutions-oriented mindset and can

work independently to resolve operational bottlenecks.


Requirements

- 0-2 years of experience in Project Management, Business Operations, or an Executive

Support role within a technology or consulting environment.

- Bachelors degree in Management, Business Administration, or a related field.

- Proficiency in the Google Workspace suite (Docs, Sheets, Slides) is mandatory.

- Prior experience in a startup or high-growth environment is preferred.
