Job Description

  • Attend department meetings, record minutes and distribute as required
  • Assist with updating, checking and maintaining the OCIMF Vessel Particulars Questionnaires (VPQ), updating internal records, customer and other Marine databases (SIRE, Q88, SIS3, CDI) as appropriate
  • General administration work as required.
  • Filing of Marine related weekly and monthly reports and documentation as received from the vessels/various other parties moving to electronic filing and DANAOS.
  • To ensure compliance with voyage instruction and to guide vessel master in accordance to the governing CP.
  • Liaise with purchasers, vessel Superintendent and logistical service providers on planning for loading / unloading / transshipment of stores and spares
  • Monitor and review actual fuel consumption of vessels against budgeted consumption to ensure cost effectiveness.
  • In any dispute against counterparty such as cargo damage or shortage, lay-time, underperformance and so on, to communicate for settlement based on charter party.
  • Clerical work such as filing shipping documents, entering voyage data into business applications.
  • Assist with compilation of Insurance Claim documentation (cargo claims/ operation related etc).
  • Coordination with Master / Charterers regarding unplanned stoppages / repairs. Including follow up for OFF/ON Hire reports and instructions to masters regarding Vessel side reports (to external parties) (Under guidance from Technical Supt)
  • Monitor and support all vessels on operational issues (Loading / discharging / tank cleaning / grade change) (Under guidance from Marine superintendent / Ops Super.)
  • Assist with post fixture activities as required (Cargo documentation (BLs / LOIs, Cargo quantity issues, Additional Insurance requirements (AWRP / KnR) (Under guidance from Marine Supt / Operations Super as required)
  • Bunker ROB / Requirements of the vessel. Including notification to charterers (if required) and Intake quantity + segregation onboard. (Under guidance from Tech Supt and advise from Master as required)
  • Agency appointment (as required) on owners behalf.
  • To monitor the speed & consumption of all vessels to comply with respective Charter party requirements.
  • Collect Customer Feedback.
  • RPT / PPKN submission (with agents assistance)
  • For vessel calling US, resolve marine certificate to be follow up


Primary tasks (Daily)

  • Liaising with charterers
  • Monitoring cps speed and consumption
  • Monitoring cargo operations
  • SIRE/ OCIMF/ Q88 request
  • Vessel schedule
  • Agency Appointment- EDPDA renewal


Secondary tasks:

  • Weekly reports
  • If discrepancy in fuel consumption, then inform technical
  • Voyage report filing
  • Marine reports weekly/ monthly filing
  • RPT/PPKN


Competencies Requirement

  • Diploma holder in related field/discipline
  • Self-motivated individual with a minimum of 2 - 3 years experience in marine industries is a MUST
  • Possess initiative and able to multi-task
  • Tech Savvy, adaptable to working with ERP
