Job Summary

The Office Administrator will be responsible for ensuring smooth office operations, providing administrative support across departments, and maintaining a professional and efficient work environment. This role is critical in supporting teams such as HR, Finance, Operations, and Sales.

Key Responsibilities

  • Manage day-to-day office operations and ensure a well-organized workplace
  • Serve as the first point of contact for visitors, clients, and vendors
  • Handle incoming calls, emails, and correspondence professionally
  • Maintain office supplies inventory and coordinate with vendors and service providers
  • Support HR and payroll-related administrative tasks (documentation, employee records, onboarding support)
  • Assist in scheduling meetings, preparing agendas, and maintaining calendars
  • Maintain physical and digital filing systems with accuracy and confidentiality
  • Coordinate travel arrangements and expense documentation when required
  • Support basic finance/admin activities such as invoice tracking and data entry
  • Ensure compliance with company policies and office procedures
  • Assist management with ad-hoc administrative tasks and reports

Required Skills & Qualifications

  • Bachelors degree or diploma in Business Administration or a related field
  • Minimum 1 years of experience in an administrative or office support role
  • Strong organizational and time-management skills
  • Excellent verbal and written communication skills
  • Proficiency in MS Office / Google Workspace (Word, Excel, Outlook, Sheets, Docs)
  • Basic understanding of HR, payroll, or finance processes is a plus
  • High attention to detail and ability to maintain confidentiality
  • Proactive, reliable, and able to work independently

Preferred Qualifications

  • Familiarity with office management tools and documentation systems
  • Ability to multitask in a fast-paced environment
