Job Description

Role Summary

The MICE Contracting Executive is responsible for sourcing, negotiating, and finalizing

agreements with hotels, venues, DMCs, and other suppliers to support corporate, incentive,

and conference events. The role demands strong negotiation skills, supplier relationship

management, and a detailed understanding of market trends to secure the most competitive

rates, terms, and value-added benefits for the companys MICE clients.


Key Responsibilities

1. Supplier Sourcing & Negotiation

Identify, evaluate, and onboard hotels, venues, DMCs, transportation providers, and

other service partners in domestic and international markets.

Negotiate the best possible rates, inclusions, and terms to maximize profitability and

client value.

Develop and maintain a preferred supplier list for MICE events.

2. Contract Management

Draft, review, and finalize contracts ensuring commercial viability, service quality, and

risk management.

Ensure all contracts adhere to company policies, legal standards, and client

requirements.

Maintain a comprehensive database of negotiated rates, packages, and terms.

3. Relationship & Stakeholder Management

Build and sustain strong relationships with suppliers to ensure long-term partnerships

and priority service.

Collaborate closely with MICE Sales, Operations, and Finance teams to ensure

smooth execution from contracting to delivery.

Represent the company at trade shows, familiarization trips, and networking events

to enhance supplier base.

4. Market Intelligence & Benchmarking

Monitor competitor pricing, industry trends, and emerging destinations/venues.

Regularly benchmark contracted rates and inclusions to ensure market

competitiveness.

5. Cost Control & Value Enhancement


Work with suppliers to develop exclusive MICE packages and value-added offers.

Negotiate cancellation, attrition, and payment terms favourable to the company and

clients.

Strong negotiation and persuasion skills.

Excellent relationship-building and networking abilities.

Knowledge of domestic and international MICE destinations, hotels, and venues.

Commercial and analytical acumen.

High attention to detail and contract accuracy.

Proficiency in MS Office and event-related CRM tools.


Qualifications & Experience

Bachelors degree in Hospitality, Travel & Tourism, Business Administration, or

related field.

68 years of experience in hotel contracting, MICE operations, or travel procurement.

Proven track record in rate negotiation and supplier management.

Exposure to both domestic and international MICE contracting preferred.
