Job Description

We are seeking an experienced and highly organized Administrator to manage the overall office administration and provide essential support functions for our local Sales team. This role is crucial for maintaining a smooth, efficient, and professional office environment and ensuring seamless support for internal and external stakeholders

Key Responsibilities:

The Administrator will be responsible for a wide range of tasks, including but not limited to:


Office Management & Support:

  • Overall Office administration & Support functions to the local Sales team.
  • Managing Admin Help Desk/Reception Management.
  • Attending to Walk-in customers.
  • Supervision of office housekeeping.
  • Managing Indoor plants/landscaping.
  • Pantry/Cafeteria Management.
  • Office Supplies & Stationery management.
  • Keys management.
  • Client Visit Organizing and Booking conference/meeting room/s, refreshments, and lunch.


Vendor & Financial Coordination:

  • Comprehensive Vendor Management.
  • Dealing with all kind of vendors like stationery suppliers, couriers, food supplier, transportations, Bills processing etc.
  • Preparation of Purchase Orders, Vouchers, receipts, and letter correspondence.
  • Verification of all bills relating to electricity, water, office services, repairs and maintenance of office equipment and machinery, stationery etc.
  • Transportation Management and co-ordination.
  • Petty Cash Management.
  • Submission of final clearance documents to client for payment process.


Facilities & Asset Management:

  • Assets Management.
  • Record Management and Storage management.
  • Responsibility for receiving the couriers/mails or vice versa.
  • Mail Room management - Postage/stamp paper and Freight.
  • Pest Control.
  • Reprographics Management (Utility Services) - Ensure all printers/copier/scanners/fax/Shredder are in working condition.
  • Co-ordinate all maintenance work and AMCs.


Compliance & Liaison:

  • Liaising with external agencies, statutory bodies and authorities.
  • Comply fully with all locally applicable statutes and regulations.


Requirements:

  • Industry: Experience working in Multinational Corporations (MNCs) is required.
  • Skills: Highly organized, excellent communication skills, and proficiency in dealing with administrative and vendor management tasks
