Job Description

Workfall is a new-age premium talent tech platform seeking a skilled Licensing Operations Executive with 4+ years of experience in managing Microsoft licensing, renewals, and customer operations. The ideal candidate will have strong expertise in handling licensing lifecycles, subscription management, billing processes, and ensuring seamless customer experience across Microsoft solutions.

Key Responsibilities:

  • Licensing & Billing Operations:
  1. Manage end-to-end licensing lifecycle for Microsoft products including:
  • Dynamics 365 (Business Central, CRM Sales)
  • Microsoft 365 (O365)
  • Azure subscriptions and Azure Virtual Machines (VMs)

2.Prepare and process purchase orders (POs) for new licenses and renewals.

3.Coordinate with licensing partners (e.g., Redington, Crayon) for:

  • License quotes and confirmations
  • Order placement and fulfillment
  • Invoice generation and corrections

4.Ensure accurate license billing, pricing, and quantity validation before invoicing customers.

5.Track license start dates, expiry dates, renewals, and upgrades.


  • Customer Coordination:

1. Act as the primary point of contact for customers on licensing-related queries.

2. Share quotations, renewal reminders, and invoice details with customers.

3. Coordinate with customers for PO collection, payment follow-ups, and renewal confirmations.

4. Resolve customer issues related to license activation, billing discrepancies, or renewals in a timely Manner.


License Provisioning & Administration:

  1. Coordinate license loading/provisioning in Microsoft portals (Microsoft 365 Admin Center, Azure Portal, Dynamics 365 Admin Center).
  2. Validate license activation and ensure services are accessible post-provisioning.
  3. Maintain accurate records of licenses assigned, consumed, and available.


Compliance & Documentation:

  1. Ensure compliance with Microsoft licensing terms and partner policies.
  2. Maintain proper documentation for:
  • Customer contracts
  • Licensing agreements
  • Invoices and renewal records

3.Support internal and external audits related to licensing and billing.


Internal Coordination & Reporting:

  1. Work closely with Sales, Finance, and technical teams to align licensing requirements.
  2. Provide periodic reports on:
  • License utilization
  • Upcoming renewals
  • Revenue from licenses

3.Assist management with forecasting renewals and licensing revenue.


Requirements:

  • BACHELORS DEGREE IN COMMERCE, BUSINESS ADMINISTRATION, IT, OR A RELATED FIELD (PREFERRED).
  • Strong understanding of Microsoft licensing models (CSP, subscriptions, renewals).
  • ETechnical & Functional Skills
  • Strong understanding of Microsoft licensing models (CSP, subscriptions, renewals).


Hands-on experience with:

  • Dynamics 365 (Business Central, CRM Sales)
  • Microsoft 365 (O365)
  • Azure services, especially Azure VMs
  • Familiarity with Microsoft partner ecosystem and distributors (e.g., Redington, Crayon).
  • Knowledge of invoice processing, billing cycles, and basic finance concepts.


Skills:

  • Advance Excel, Good in Presentation and English Communication
  • Strong attention to detail and accuracy.
  • Ability to manage multiple customers and renewals simultaneously.
  • Problem-solving mindset with a customer-focused approach.
  • Excellent communication and coordination skills.


Nice to Have:

  • Good English communication skillsboth written and verbal.
  • Strong analytical skills.
