Job Description IT Onboarding Specialist
Location: Bengaluru, India

About the Role
We are looking for a detail-oriented and proactive IT Onboarding Specialist to manage the complete onboarding experience for new consultants, employees, and contractors joining our U.S.-based consulting firm. This role will be based in Bengaluru, supporting onboarding processes for U.S. clients and internal teams.
The ideal candidate should be organized, process-driven, and comfortable working in a fast-paced consulting environment.

Key Responsibilities
1. Onboarding Coordination
Manage end-to-end onboarding for U.S. client projects and internal hires.
Work closely with Recruiting, HR, Delivery Managers, and IT teams to ensure timely completion of onboarding steps.
Coordinate collection and verification of all necessary documents (ID proofs, background checks, compliance forms, W-4/I-9 equivalents, NDAs, client-specific paperwork).
Track onboarding timelines and follow up with candidates to ensure smooth and timely onboarding.

2. IT Setup & Access Management
Coordinate laptop provisioning, asset allocation, shipping, and tracking.
Ensure new hires receive required system access:
Email, Teams/Slack, CRM, VPN, client portals, ticketing systems, and other tools.
Collaborate with technical teams to troubleshoot access or login issues during onboarding.
Maintain inventory of IT assets and support equipment requests.

3. Compliance & Documentation
Maintain accurate employee and consultant onboarding files.
Ensure client and internal compliance standards are met for every new hire.
Track and monitor visa documentation (H-1B, OPT, CPT, EAD) and coordinate updates with HR/Legal as necessary.
Ensure completion of mandatory training and certifications.

4. Communication & Candidate Experience
Act as the primary point of contact for onboarding-related queries.
Conduct virtual onboarding orientations and welcome meetings.
Provide timely updates to Delivery Managers and leadership teams.
Ensure a positive, clear, and professional onboarding journey for every consultant.

Required Skills & Qualifications
Bachelors degree in HR, Business Administration, IT, or related field.
14 years of experience in onboarding or HR operations; consulting or IT staffing experience preferred.
Strong understanding of IT roles (SAP, Cloud, AI, Development, Data Engineering, etc.) is a plus.
Excellent communication skills (verbal & written).
Proficient with MS Office, Google Workspace, and onboarding/HRIS tools.
Ability to work in U.S. time zones (evening hours preferred).
Highly organized, detail-oriented, and comfortable handling multiple onboarding cycles simultaneously.
