Job Description
We are looking for a Human Resources Specialist who can handle day to day HR operations, recruitment support, and employee lifecycle activities. You will work closely with the founders, the Senior HR Recruiter and team leads to keep HR processes organised, documented, compliant and transparent.
Key responsibilities
Recruitment support
Publish job postings on portals, LinkedIn and other channels
Screen resumes and shortlist profiles as per defined criteria
Schedule interviews and coordinate with candidates and interviewers
Share screening forms and collect candidate agreements, NDAs and other pre interview documents
Maintain an updated tracker of all candidates, stages and outcomes
Onboarding and documentation
Prepare and share standard HR documents such as offer letters, appointment letters, NDAs and candidate agreements using company templates
Collect and verify joining documents Aadhar, PAN, education certificates, payslips, experience letters
Create and maintain digital and physical employee files
Coordinate day one induction and explain basic policies, attendance, leave rules and working days
Ensure all new hires are added to systems attendance, email, Slack, Monday etc in coordination with IT and admin
Attendance, leave and HR operations
Monitor daily attendance and late logins, highlight repeated issues to managers
Maintain leave records and ensure approvals are recorded properly
Share monthly attendance and loss of pay details with accounts for payroll processing
Prepare standard HR letters on request employment letter, experience letter, address proof etc
Help implement and track HR policies related to probation, confirmation and warnings as per direction from HR head and management
Employee relations and communication
Act as a first point of contact for basic employee queries on policies, holidays, attendance and documentation
Support in organising internal meetings, announcements and small engagement activities when needed
Escalate sensitive or serious concerns to the HR head or management with proper notes and records
Compliance and policy support
Ensure all HR documentation and processes follow company policies and local labour regulations
Keep templates and trackers updated so that audits and verifications are easy
Support HR in drafting, updating and circulating HR policies, code of conduct and process notes
Reporting
Prepare simple weekly and monthly HR reports
Hiring pipeline status
Joining and exits
Attendance and leave summary
Share clear data to help management make decisions on hiring and performance
Requirements
2 to 5 years of experience in HR operations or generalist HR role
Experience in recruitment coordination and HR documentation
Strong attention to detail and habit of keeping records clean and up to date
Good communication skills in English and Tamil, written and spoken
Comfortable using spreadsheets, email, HR trackers and tools like LinkedIn, Naukri etc
Ability to handle confidential information responsibly
Nice to have
Experience in a startup or small company environment
Prior experience with IT or digital marketing teams
Work conditions
Work from office in Perungudi, Chennai
Standard work week Monday to Saturday
Occasional extended hours during heavy hiring or audits
