Human Resources Office Administrator
Role Overview
We are looking for a dependable and detail-oriented Admin Executive with a strong administrative and office-operations focus , supported by hands-on IT coordination. This role is critical to ensuring smooth day-to-day office functioning, employee administration, attendance tracking, and basic IT support activities.
While the position involves IT-related responsibilities such as asset coordination and user access support, the primary emphasis is on administration, employee operations, and internal coordination .
Key Responsibilities
Administration & Employee Operations
- Manage attendance tracking , leave coordination, and employee records in coordination with HR.
- Support day-to-day office administration, including facility upkeep, housekeeping, and security coordination.
- Oversee visitor management and front-office operations.
- Coordinate employee onboarding logistics (workspace readiness, ID cards, system access coordination).
- Support employee off boarding formalities from an administrative perspective.
- Organise internal meetings, events, festivals, and employee engagement activities.
- Manage office supplies, stationery, and consumables inventory.
- Coordinate transport, food services, and other employee-related facilities.
IT Support & Coordination
- Coordinate IT asset allocation, tracking, and inventory (laptops, accessories, peripherals).
- Support basic IT administrative tasks such as asset handover, access requests, and deactivation during exits.
- Act as a point of contact between employees and IT vendors/service providers for routine issues.
- Maintain records of IT assets and ensure compliance with internal policies.
Vendor & Service Management
- Coordinate with vendors for housekeeping, maintenance, catering, transport, and IT services.
- Track vendor invoices, service schedules, and renewals.
- Maintain strong working relationships with local vendors to ensure timely service delivery.
Travel & Coordination Support
- Assist with domestic travel bookings and coordination when required.
- Maintain basic travel and expense records in coordination with internal stakeholders.
Desired Candidate Profile
- Strong background in office administration and employee operations .
- Working knowledge of IT asset coordination.
- Highly organized with attention to detail and follow-through.
- Comfortable handling multiple administrative tasks simultaneously.
- Proactive, reliable, and able to work independently with minimal supervision.
- Local candidate preferred for effective vendor coordination.
