Position Summary
This role manages the full employee lifecycle, from seamless onboarding and payroll administration to compliance and exit formalities. By balancing HR operations with office administration including asset management, vendor coordination, and policy implementation, this role ensures a structured, compliant, and efficient workplace. Additionally, this position acts as a key point of contact for employee engagement, driving team initiatives and supporting the overall office culture.
Core Responsibilities
HR Operations & Employee Lifecycle
- Co-ordinate end-to-end onboarding and induction for new hires.
- Maintain employee records (digital and physical) with accuracy and confidentiality.
- Support probation tracking, confirmation letters, and employee documentation.
- Coordinate exit formalities including F&F documentation and asset clearance.
Payroll & Attendance Support
- Maintain attendance and leave records in Keka.
- Coordinate payroll inputs such as new joiners, exits, reimbursements, and leave data.
- Address employee queries related to salary slips, leave balances, and policies.
Compliance & Policy Implementation
- Support POSH compliance, employee declarations, and HR audits.
- Assist in drafting and communicating HR policies and SOPs.
- Support HR audits
IT & Asset Coordination
- Coordinate with IT team for laptop allocation, email IDs, access cards, and software access.
- Maintain asset inventory records and ensure proper handover during onboarding and exit.
Office Administration
- Manage vendor coordination.
- Oversee office supplies, stationery, and pantry management.
- Support travel bookings.
- Support employee engagement activities, and internal events.
- Ensure smooth functioning of the office environment.
Employee Engagement & Support
- Assist in organizing team activities, celebrations, and engagement initiatives.
- Act as the first point of contact for employee administrative concerns.
- Support HR leadership in implementing people initiatives.
Education Requirements
- Bachelors degree in business administration or a related field
Technical Skills and Experience
Software Proficiency:
- Microsoft Outlook
- Teams
- Monday.com
- Microsoft Office Suite
- SharePoint
Preferred Skills:
- Prior experience supporting senior management or handling executive-level scheduling and communication will be an advantage.
- Professional, discreet, and capable of maintaining confidentiality in all interactions.
Experience:
- 45 years of experience in administrative or operations coordination roles.
Psychosocial Skills /Human Skills/Behavioural Skills
- Strong analytical, organizational, and problem-solving skills.
- Management experience a plus.
- Entrepreneurial mindset with the ability to take ideas and run with them from concept to conclusion.
- Technical understanding of clean energy business processes
- Exceptional verbal and writing communication skills in English.
- Strong proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint) and Microsoft Teams.
- Ability to handle communication and scheduling across multiple time zones.
- High attention to detail with strong organizational and multitasking abilities.
- A proactive, dependable, and execution-driven approach to work
- Excellent interpersonal skills while managing multiple priorities in a fast-paced and ever-changing environment.
