Position overview
The HR Compliance Analyst will ensure organizational adherence to labor laws, statutory regulations, POSH guidelines, payroll compliance, and HR policies across the entire employee life cyclefrom onboarding to exit. This role owns compliance audits, risk mitigation, payroll statutory adherence, complaint handling, policy management, and employee lifecycle execution to promote a legally compliant and ethical workplace.
Responsibilities and Duties
Compliance & Audits:
- Monitor and ensure full compliance with all relevant labor laws, statutory regulations, payroll-related statutory requirements, and POSH Act provisions.
- Conduct regular internal HR and payroll compliance audits and prepare actionable reports.
Payroll & Statutory Compliance:
- Oversee end-to-end payroll processing in coordination with internal teams and/or external payroll vendors.
- Ensure timely and accurate payroll execution, including salary processing, reimbursements, incentives, deductions, and full & final settlements.
- Ensure compliance with statutory payroll components such as PF, ESI, Professional Tax, Gratuity, Income Tax, and other applicable deductions.
- Review payroll registers, statutory challans, returns, and reconciliations to ensure accuracy and compliance.
- Address payroll-related employee queries and resolve discrepancies in a timely manner.
- Support payroll audits and ensure maintenance of payroll documentation and audit trails.
POSH Compliance:
- Manage the Prevention of Sexual Harassment (POSH) compliance framework including complaint redressal, POSH committee coordination, and employee training.
- Handle sensitive POSH cases fairly and confidentially, ensuring timely resolution aligned with legal requirements.
Onboarding & Employee Life Cycle:
- Oversee the complete onboarding process from offer acceptance, background verification, document collection, orientation, and policy briefing to probation completion.
- Ensure all onboarding documentation, agreements, payroll inputs, and compliance formalities are completed accurately and timely.
- Coordinate ongoing employee lifecycle activities including policy communication, training on compliance and workplace ethics, performance management compliance, payroll changes, and documentation.
- Manage exit formalities including final payroll settlements, statutory clearances, documentation, and feedback mechanisms in compliance with legal requirements.
Policy & Procedure Management:
- Develop, update, and implement HR, compliance, and payroll-related policies to reflect changing labor laws and organizational requirements.
- Maintain and track compliance records, payroll data, audit trails, and employee lifecycle documentation using HRMS and payroll systems.
- Conduct periodic training and awareness sessions on labor law updates, POSH, payroll compliance, and HR best practices.
Job Requirements
- Bachelors or masters degree in human resources, Law, Business Administration, or related field.
- Minimum 7 years experience in HR compliance, labor law, payroll management, POSH, audit, and employee lifecycle management.
- Thorough knowledge of Indian labor laws including Factories Act, Shops & Establishment Act, PF, ESI, Gratuity, Income Tax, and POSH Act compliance requirements.
- Hands-on experience managing payroll processing, statutory filings, reconciliations, and payroll audits.
- Experience handling onboarding to exit processes ensuring legal, payroll, and policy adherence.
- Strong analytical, reporting, documentation, and communication skills.
- Proficiency in MS Office, HRMS, payroll systems, and compliance tracking tools.
