What Youll Be Doing (Position Summary):

The HR Advisory Coordinator provides essential administrative, operational, and records management support to the HR function in CIBC India day to day operations. This role ensures the accurate maintenance of employee records, assists HR Business Partners in employee lifecycle administration, and supports the tracking and documentation of employee relations cases. The HR Advisory Coordinator helps enable effective HR service delivery and compliance with local regulatory requirements. This role supports the smooth functioning of HR service delivery and the overall success of the HR team as CIBC India grows and may be aligned to support specific Business Partner groups.

How Youll Succeed (Responsibilities):

  • Manage physical and digital employee records, ensuring compliance with local regulatory requirements.
  • Maintain accurate documentation for HR activities, audits, and inspections.
  • Support the implementation and upkeep of HR policies, procedures, and documentation.
  • Provide administrative and operational support to the HR function, including HRBPs and other HR team members.
  • Assist HRBPs with employee lifecycle administration (e.g., onboarding, offboarding, changes, documentation).
  • Support the coordination and scheduling of HR processes and activities.
  • Support HRBPs in tracking and documenting employee relations cases.
  • Maintain confidential records related to investigations, issue resolution, and escalation processes.
  • Assist with the preparation of reports and documentation for regulatory and compliance purposes.
  • Ensure all records and HR activities comply with local laws and CIBC enterprise standards.
  • Assist n the preparation of documentation for HR audits and regulatory inspections.
  • Collaborate with HR Business Partners, HR Compliance Officer, and other HR colleagues to ensure smooth HR operations.
  • Communicate effectively with employees and HR team members to facilitate the flow of information and documentation.
  • Prepare regular weekly, monthly and ad hoc report.
  • Process invoices, journals, book conference rooms as need.
  • Respond to basic employee queries on HR-related matters.

Experience: 2+ years of experience

Who You Are (Skills / Qualifications):

Must Have Skills:

  • Experience in HR administration, records management, or similar HR support role, preferably in a multinational or GCC environment.
  • Familiarity with Indian labor laws and HR compliance requirements is an asset.
  • Strong organizational and detail-oriented skills.
  • Ability to handle confidential information with discretion and professionalism.
  • Effective communication and interpersonal skills.
  • Proficiency with HR information systems and digital record-keeping tools.
  • Ability to work in a fast-paced environment with minimal direction or supervision.
  • Ability to effectively prioritize competing tasks from a variety of sources.
  • Capability to adapt and modify procedures in a changing environment to ensure productivity and efficiency.
  • Detail oriented and able to juggle multiple priories at the same time.
