Global Messaging Architect

The Global Messaging Architect is a member of the Global Collaboration Services and UX Governance team. This role acts as an Architect, technical and strategic reference for enterprise messaging and communication platforms, ensuring consistency, security, scalability, and alignment with business objectives across a global organization. The primary mission of the Global Messaging Architect is to design, architect, deploy, govern, manage and optimize enterprise messaging and communication platforms, covering:

• Enterprise Email & Messaging (Postfix, Exchange Online, Hybrid Exchange)
• Email Security & Hygiene (Proofpoint)
• Microsoft 365 & Identity integrations
• Unified Communication integrations including CPaaS
• Automation, API integration, and governance

The role ensures high availability, security, compliance, and innovation across global messaging services while acting as Level 3 technical authority.

Key Responsibilities

Postfix & SMTP / Email Relay Architecture

• Architect, deploy, migrate, upgrade, and maintain Postfix-based SMTP relay platforms on Red Hat Linux.
• Extensive hands-on expertise in:
• Postfix internals, mail flow, queues, transports, and policies
• SMTP authentication (AD-based and local authentication)
• TLS, certificates, and secure relay configurations
• High availability, performance tuning, and scaling Postfix environments
• Experience with other Linux-based email components/MTAs.
• Design end-to-end mail relay architecture, including:
• Active Directory integration
• Whitelist IP address to source email address matching
• Network flows, firewall rules, and routing
• Secure relay patterns for SaaS, on-prem, and third-party systems
• Strong automation and scripting skills for Linux email platforms.
• Reporting experience exporting smart reports segregating source applications based on private/public Ips.

Microsoft Exchange & Microsoft 365

• Architect and manage Exchange Online for large enterprise environments.
• Strong experience with:
• Exchange Online / Exchange Online Protection (EOP)
• Hybrid Exchange (Exchange 2019)
• Decommissioning/Re-architect post migration
• Public/private Certificate renewal/management
• Design and govern:
• Mail flow, connectors, transport rules
• Security, compliance, and governance controls
• Archive and Backup Strategies for Mail
• Deep knowledge of:
• Purview (DLP, retention policies, sensitivity labels, eDiscovery)
• Microsoft 365 tenant management
• Clients: Outlook (Windows/Mac), IMAP, POP3, mobile devices, Active Sync, Intune over Modern Authentication protocol.
• Knowledge on Entra ID Connect, Entra AD RMS, and identity-driven mail authentication.
• Troubleshoot mail related issues.
• Keep a tab Microsoft 365 notification and be pro-active on communicating, planning and executing.
• Onboarding and offboarding automation of joiners/leavers integrating with 3rd party tools like Jarvis/One Identity.

Proofpoint Email, Network, DNS Security & Hygiene

• Strong hands-on experience with Proofpoint email security platforms.
• Architect and manage end-to-end Proofpoint + Exchange Online integrations.
• Deploy and manage Proofpoint appliances for secure email relay.
• Design and implement:
• Email hygiene policies
• Firewall policies, Domain integration, Whitelist/Blacklist
• Message header based rules
• Anti-phishing, anti-spam, and threat protection rules
• Governance and compliance use cases
• Act as the security reference for messaging solutions in collaboration with the Security team.
• Troubleshooting mail flow related issues
• Strong understanding of:
• SMTP protocol and mail routing
• Public mail domain management
• DNS records: MX, SPF, DKIM, DMARC, TXT
• SMTP alias hosting and domain integration
• Ability to collaborate closely with network, server, and security architects.

Migration & Transformation

• Extensive experience in large-scale migrations, including:
• Tenant-to-tenant (M&A, divestments)
• On-premise to cloud migrations
• Mail domain migration and coexistence
• Perform discovery, scoping, and estimation (LOE), wave wise data migrations for messaging transformation projects.
• Provide in-person and remote support during migration and cutover and Hyper-Care phases.
• Experience working with 3rd party tools like Quest On Demand, Sharegate, Avepoint etc.

Automation, APIs & Integration

• Strong PowerShell scripting capabilities for Exchange, Entra ID, and Microsoft 365 with Entra ID SPN/app-based unattended approach.
• Experience with Microsoft Graph / REST APIs for automation and integration.
• Entra ID integration, Service Principals, managed identity knowledge.
• Power Platform based automation (power-Apps, Power Automate, Power BI) is a strong advantage.
• Good-to-have experience integrating messaging platforms with CPaaS solutions.
• Reporting to showcase different messaging KPIs, Metrics through automated Dashboard is an added advantage.

Documentation & Support

• Ensure technical architecture documents (TAD), KBs, and operational guides are created, maintained, and up to date.
• Define and enforce messaging governance standards.
• Provide Level 3 support for complex mail and messaging incidents.
• Educate and upskill Level 1 and Level 2 support teams.
• Communicate and educate both technical and business stakeholders on:
• Current architectures
• Industry trends
• Microsoft roadmap and enterprise impact

Required Core Technical Skills:

• 8-15 years of experience.
• 4+ years on Postfix (Red Hat Linux) expert level and proven Expertise
• Exchange Online / Hybrid Exchange
• Exchange On premise 2019
• Proofpoint Email Security (EFD)
• Microsoft 365
• PowerShell scripting & automation
• Entra ID
• SMTP, DNS, Mail Security standards
• Microsoft Graph / REST APIs
