Position: Front Office Executive

Location: Gurgaon, NCR


Role Overview

The Front Office Executive will serve as the first point of contact for visitors, clients, and employees, ensuring smooth front-desk operations and a professional workplace environment. The role requires strong administrative coordination, communication management, and customer service skills to support daily office functioning efficiently.


Key Responsibilities

Front Desk & Visitor Management

  • Manage the reception area and handle all front-desk operations
  • Greet visitors and clients professionally and guide them appropriately
  • Maintain visitor logs and follow access/security protocols
  • Ensure reception and common areas remain clean and presentable

Communication Management

  • Handle all incoming and outgoing calls and route them to the appropriate departments
  • Take accurate messages and ensure timely follow-ups
  • Respond to general email and telephone inquiries
  • Provide accurate information about the organizations services

Administrative Support

  • Maintain and organize files, documents, and records
  • Coordinate meeting room bookings and meeting arrangements
  • Manage courier, dispatch, and postal services
  • Monitor and replenish office stationery and supplies
  • Support day-to-day administrative and operational tasks

Customer Service & Brand Representation

  • Deliver a high standard of customer service to visitors and clients
  • Address and resolve queries or complaints in line with company policies
  • Escalate issues to management when necessary
  • Represent the organization professionally and build positive brand perception

Compliance & Safety

  • Adhere to all safety and security procedures
  • Report unsafe situations or incidents to management
  • Attend required meetings and training sessions

Qualifications & Requirements

  • Bachelors degree required
  • 3+ years of experience in customer service, front desk, or a related professional role
  • Proficient in English (verbal and written communication)
  • Professional appearance and presentation
